PVMS PTO Meeting May 7, 2013 Attendance: Danette Dykema, Sarah Minei, Penny Bartnicki, Heather Helwig, Ray Bernier 1) Principal’s Report i) Town Vote May 14th from 12 – 8pm (Town Hall) – School Budget ii) Read In May 31st iii) Award Ceremony is the last day of school June 21st at 9:30. Parents of students receiving an award receive an invitation to attend the ceremony. 2) Treasurer’s Report i) Ending Balance: $4,253.72 (May 7th) ii) Box Tops: $502.00 (Check Received) iii) Got Books: $42.21 (Check Received) iv) PMVS Magnets: $120.00 (Cash Received) (1) New overall total after deposit of checks and cash = $4917.93 3) Old Business a) PVMS PTO’s Non-Profit Status (501c3) i) Danette has completed the 501c3 documents and is going to file the online forms after field day has been paid for in June. The cost to reinstate is $400. b) May Fun Night (Kick, Fit & Nutrition) – Friday, May 31st from 6:30-8 p.m. i) Cost will be Free. Dan Jenkins from Black Dragon Karate Studio will run the fun night. c) BOGO Book Fair – May 6-10th i) A few more volunteers are needed for Thursday and Friday. Sarah is going to check in with a few people. ii) September 2013 book fair has been set for September 16th – 20th. d) Field Day at Strawberry Park – Tuesday, June 4th with a rain date of Tuesday, June 11th i) Cost will be $7 per student with an estimated cost of $2,000 for the day ($7 x 270 students = $1,890), which is comparable to the amount spent on Field Day in years past ii) Bussing will be free; students will be picked up and dropped off at school. Parents may bring their child/children home after Field Day if they provide written permission to the office prior to field day. Drop off should be at the school as normal. iii) Approximately 15 volunteers will be needed to help with spin art, tattoos, popsicles, lunches, and water stations through-out the day. iv) Teachers may request a parent volunteer for their class for the field day event. If a teacher would like a room parent volunteer for the day, they will need to identify that parent through an individual classroom note. PTO will not identify parent classroom volunteers. v) Spin Art activity will be Frisbees – Penny has placed the order – total cost with shipping is $321.70 vi) Tattoos and Popsicles to be purchased closer to the date.
vii) Ray will meet with Katarina to discuss the bag lunch for all students who choose to purchase a lunch. Students will also be given the option to bring their own lunch. viii) Wrist band will be given to all students/staff and volunteers (Blue) and visitors will wear (Red). This will help people to quickly identify who is associated with PVMS vs. the campground. This will help to address the staff concern of other schools and campers present during field day. Gail and Kerry will be checking in visitors and giving our visitor wrist bands. We will request that parents indicate on the permission slip that they will be attending field day activities. ix) Melissa is working on the schedule of activities with Strawberry Park. x) Danette is preparing the Field Day Information packet for all families and teachers. This packet will include the permission slip, lunch order form, frequently asked questions about the new field day format and Strawberry Park, Volunteer request form and visitor attendee form. Teacher’s packets will include the schedule of activities and a map of SP. xi) The school nurse will be attending field day and will be on site if needed during the event. e) Appreciation Days i) Bus Drivers – May 30th (1) The bus drivers will be taken out to breakfast at Park’s Place after their morning run. Placemats for each student to sign are complete and candy bar school buses were made at the meeting and will be given to each bus driver. ii) Staff Appreciation – June 7th (1) The potluck luncheon: salad, sandwiches, and dessert. Flyer to be prepared closer to the date. 4) New Business i) Popsicles with the Principal – Celebration of Summer Reading – August 6th at 11:00 am ii) PTO Awards - Gail and Kerry to get the list of 2 students per class by the end of May so the trophies can be ordered. Box Top awards to also be given to the top three collectors. iii) Back to School Event and Boo Hoo Breakfast– To Be Discussed at next PTO meeting. 5) Next Meeting: June – TBD
