RLHC Group Bookings Made EZ Lead Portal Program Summary: Group Bookings Made EZ lead Portal, utilizing Groupize technology, is now powering our Brand.com group shopping and RFP request process and is also the new lead distribution portal for RLHC National Sales. This new platform allows for a better and easier group customer shopping experience while also enabling RLHC to respond to group leads more effectively and efficiently, thus improving the overall booking shopping and booking process.

Objective: RLHC’s goal is to be the easiest, most responsive and most hospitable of all hotel brands to do business with. Our Group Bookings Made EZ lead Portal supports this goal and also allows us to increase conversion of Brand.com group shoppers to bookings thus streamlining the process for lead distribution, handling and tracking.

Procedure: 

Your lead catcher will receive an e-mail notification when your hotel has a new lead.



You must respond to the lead within 4 hours of receipt, with immediate response being the optimal time frame through the Groupize PRM.



To respond you can: o

Gather the details needed to put together pricing and the value proposition for the request, and respond through the Groupize PRM with a full proposal.

If you need to research availability and pricing due to space or date conflicts or pricing concerns, you can respond with: “Thank you for considering XYZ hotel. We truly appreciate this opportunity and I am working on pulling together the details and information needed to provide a thoughtful and thorough proposal to address your group request. I will be back in touch by end of day with a proposal” Proposals should be sent same day, with some exceptions. They key is to make sure you have established a timeline and that it fits within their time frame. If you have identified gaps in the details provided in the request from the group inquiry that you need to put together a compelling proposal, then call or e-mail the group planner to ask questions to further qualify the business to the point you will have the information you need to win the business!



Every lead must be responded to, thoroughly and thoughtfully! Do not turn down any lead or request upon initial receipt.



If you do not have preferred dates, offer alternative dates.



If you do not have meeting space requested, offer alternative dates.

If you don’t think the rate you can offer will meet the budget requested, offer it anyway.



If you choose to put together a proposal for impact or to be more compelling outside of the Group Bookings Made EZ lead portal system, you must still update the lead status in the Groupize PRM. It is critical you keep track of all lead and booking status in the Groupize PRM, as you will be billed for leads that are sitting in new status beyond the decision date, even if they don’t book.



There is a 5% fee for all Group Bookings Made EZ leads that come through Brand.com
