Rouse High School Swim Booster Club Officer Board Meeting Minutes Oct 13, 2015 Call to Order Officer Board meeting called to order by Ken Demoski at 5:32pm on October 13, 2015 at Rouse High School room #3017.
Attendance Board members in attendance: Ken Demoski, Jayme Ingram, Dianne Szabo and Lenna Crosby Sponsor: Coach Ramsey Other members in attendance:
Approval of minutes from last meeting September minutes were approved by the board on October 13, 2015.
New Business A) Treasurer’s Report a. Peter Grady was not in attendance. The following is from his email report. b. Total balance: $3,178.25 i. Checking: $2900.44 i. Waiting to receive the check from Snapraise. Bellini’s monies will deposited at the end of the event. ii. Savings: $277.32 B) Budget/Expenditure Additions a. Board went over the updated 2015-2016 budget. i. Revenue at this time: Sponsors $950 Booster memberships $600 Resale of swim caps $379.25 Resale of team shirts $986.72 Snapraise $4003.56 1st Concession stand $400 ii. Projected Revenue: Bellini’s fall breakfast $1,200 2nd Concession stand $500 b. Details: i. Snapraise-raised $4,003.56 i. The boosters were not made aware that swimmer prizes would be deducted from our total.
a. $330.00 taken for prizes. ii. Check ($4,003.56) was mailed to RHSSBC on Oct. 2, 2015. iii. This was the largest fundraiser the swim team has had to date! a. Thank you to everyone who participated and made this such a huge success. ii. Extra Credit-this possible fundraiser will be tabled until next spring. iii. Microsoft Office-Coach has asked that we push back the purchase of Microsoft Office for her booster computer. iv. Warmups-boosters will purchase 10 more warmups for swimmers. i. This will allow all swimmers to have a warmup. v. Regional/State towels-Peter Grady is looking into the vendor we used last year. c. Expenditures: i. Officers approved the following to be added to the expenditure list: 10 more warmups for swimmers (coach will get quote) Canned goods for Oct. 24, 2015 Round Rock Invitational $75 ii. Boosters will look into possibly doing the 2016-2017 kick-off party on the lake. C) Spirit Wear a. Jayme Ingram presented the new spirit wear order forms to the board. i. Our new vendor is Fan Cloth. i. Fan Cloth will allow the boosters to sell items at cost. a. This is not a fundraiser. ii. Swimmers will receive a catalog on Thursday, Oct. 15, 2015. a. There are 27 items to choose from, ranging in price from $14 to $43. iii. Spirit Wear sales will continue till Oct. 28, 2015. b. Car Decals/Yard Signs i. Boosters will look at Staples as a possible vendor for car decals and Yard signs. Old Business D) Spirit Committee a. Homecoming Parade: i. All supplies for the float and candy for the parade have been purchased. i. $100 budget spent. b. Trunk & Treat: i. Candy has been purchased with the $50 budget. E) Coach’s Report a. Coach Ramsey was approached by Coach Smith and asked if there was any weight training equipment the swim team needs when using the weight room. i. Coach Ramsey requested a few dumbbells and Coach Smith used his budget to purchase them, as well as, a few jump ropes. ii. Coach Smith asked if the booster club could in turn, purchase materials that possibly the welding class could use to build a dumbbell stand. The board approved this request and Coach Smith will look into the cost and if welding would take on the project.
F) Approved by Board a. Board approved the purchase of 10 more swimmer warmups. b. Board approved the purchase of $75 worth of canned goods for the Sept. 24th Round Rock Invitational meet. c. Board approved the purchase of materials to build a dumbbell stand for the Rouse weight room.
