St. Helena’s Episcopal Church Vestry Meeting Minutes July 18, 2017 Vestry Present: Tommy Hughston, Renee Snyder, Tommy Mathews, Rob Nelson, Scott Hardin, Julie Vickery, Linda Lee Gatell, Anne Rea, Paul Johnson, Jasen Hart, Ruth McBride, Cindy Erikson Vestry Absent: Ruth McBride Clergy: Rt. Rev. Jim Folts Staff/Treasurer: Ann Shorter, Ron Tribo Visitors: Ben Adam, Mark, Olender Call to Order: 6:31 Opening Prayer: Julie Vickery Minutes: May Approval Motion: Scott 2nd : Linda Lee Vote: Unanimous June Approval with one correction re: vote on $10,000 transfer R. Nelson abstained. MScott 2nd Linda Lee Vote: Unanimous Junior Warden Report (Renee Snyder)  Roof repairs, additional areas added some funded by in-kind donated time and funds designated from development for the roof. Total cost ~$3,800  Jasen & Hector have redone the retaining wall and pad for an air conditioner repair. $9,500 quote from Climate Care HVAC Senior Warden Report (Tommy Hughston)  Youth trip was outstanding  SHEEP Audit discovered ~$8,500 in excessive FCIA charges that were taken out of the SHEEP account. All federal reporting is correct, internal accounting matter  Rally Day is tentatively August 27th  Finance meeting at Frost coming up  Invite Welcome Connect (IWC) is kicking off  List of preaching clergy through October 25th. Typically, Jerry Sneary who will come in on Wednesdays to get the pastoral care list  August 1 for co-chairman to be chosen for Stewardship  ART Academy going on right now (74 participants)  BSA Troop 1920 dedicated the quartermaster hut for Bruce Calder  Member who’s interested in running a marriage ministry…more to come… Ministry Reports  See e-mailed reports  SHEEP Audit (Julie) is also looking through all finances as well  Sunday School (Linda Lee)

Old Business: Current Action Items  Facilities/Space Utilization Analysis Update - Tommy Mathews/Rob Nelson – define the location of Art ASAP  Show of Hands – Did You Bring Someone to Church? – All  Prayers for Debt Reduction – All $364,535 balance  Keeter Property Update – Tommy Hughston Mr. Keeter passed away this past weekend, prayers for the family  Van Acquisition Study – Ann Shorter (tabled) still awaiting insurance information New Business:  Search Committee Update (Ben Adam) – Interviews will be completed this month due to the challenges of summer schedules. Second round of interviews to be completed by the end of August (goal). The process is progressing well Finance/Budget/Stewardship (Ann Shorter/Ron Tribo)  See Financial Reports - Income statement, plate and pledge are running behind ~$25,000 all bills are current, apportionment is paid, no need for the line of credit, cash flows have been good. We are still projecting for a year end deficit - Audit letter has been received but did not include SHEEP, which need to be added, Ron will get this addressed - Continued work on internal controls  Declare the % to be spent outside Parish operations (*excluding Diocesan apportionment and SHEEP). Deep discussion as we sought to answer the question, “what % of the tithe will be spend outside of ourselves?” (Lesson by Bs. Folts – we have tithes & offerings – the budget and plate is the tithe, all of the other things that we gather money for; youth, fruits & vegetables etc… are offerings) Action: Declared 2% to be spent outside of Parish operations Motion: Tommy Mathews 2nd: Paul Johnson Approved 9-2 (Nelson & Vickery dissenting) Action: Declared 10% as the ultimate outreach goal Motion: Tommy Mathews 2 nd: Rob Nelson Approved unanimously Rector’s Time ~7:30 (Rt. Rev. James Folts)  This may well be the last Vestry meeting that the Rt. Rev. James Folts attends. We have a promising future and we are headed the right direction. Editorial comment by Mathews - He is loved, deeply appreciated and we will be forever grateful! Action Item/Voting Review was performed Approved May and June (amended) minutes Declared 2% outreach goal for the next budget and an ultimate Outreach goal of 10% Around the Table: Cindy – we need to remark the handicap sign placement spots on the curb.

She will handle this. Around the Room: Ron will not here on the 15th he will be in New Mexico. Mark Olender expressed his desire that we continue to focus on paying off the debt.
