Wilton Soccer Association Board Meeting Minutes April 17, 2017 Board Member Attendees: Michelle Barbieri, Jayme Casey, Jeanne Cronin, George Cross, Michelle Haggerty, Joanna Lepore, David Loughran, Tony Palumbo, Tracy Scarfi, Gabe Tully, Nancy Ward Non Board Member Attendees: Ritesh Mistry, Ben Weiss Absent: Carol Faherty, Prasad Iyer Motions Approved: Unanimous approval of the March 2017 Board minutes. Unanimous approval of TOTS Program. Unanimous approval of an electronic referee payment system. Coaching Updates: Soccer Extreme: Indoor and Spring Break practices all ran smoothly. The Travel Prep document is online and available to the public. The Goal Keeper clinics will start the week of April 24. Interested players will register and can miss their regular practice if there is a conflict. There is no fee for WSA players. There was an issue with coaches showing up late. Coaches need to arrive 15 min early for practices and 30 min early for games. WSA will send an email promoting CT Roma as an option for summer soccer. The program runs from 6/20-8/2, with two practices per week and one tournament in Rhode Island. TOTS program: The TOTS Program is for 3 year olds and will run on Fridays from 12:45-1:30pm, starting on April 28. The field location is Allen‘s #4. The cost is $165/player and Mickey Kydes will provide a soccer ball to all players this first year. This is not a drop off program so parents are expected to stay at the field. Ref payment processor: Starting with the 2017/2018 season, the WSA will stop paying referees in cash and will implement an electronic payment system. Tony and George will research vendors. Nancy Ward will manage the payment system once it is up and running. BOARD UPDATES President – Tracy Scarfi: An email was received from Ridgefield concerning the set up and scheduling of U9 and U10 games. The thought is for teams to play back to back games so they can double roster players. Many of these teams share coaches and want to double roster players. Treasurer – Tony Palumbo: There is $370,000 in the bank and $5,000 in outstanding fees. Players that have not paid their fees have received one or more email notifications and will lose their player pass after a final warning. These players have been sent information to apply for financial aid/scholarships. Intramural K-2 – Joanna Lepore Photo Day is the scheduled for April 22. There have been many late registrations causing teams to have large numbers. Also, many parents are signing up for the wrong program. Nancy and Michelle will work on reorganizing the registration tabs to try and make it easier for parents to navigate the website.
Team Warrior – David Loughran There are 124 players registered for the spring season. Dave and Ritz are confirming the coaching assignments. Also, changes are being made to accommodate player with conflicts with other sports and carpooling. VP Girls Travel– Michele Barbieri There are 3 players who have not paid the spring fees. The start of the season has been slow- 3 teams played the opening weekend, which fell during April break. VP Boys Travel-George Cross The travel manager meeting went well. Managers need to report roster changes by Tuesday at 5pm. Another option is for teams to double roster players for the entire season to avoid the weekly changes. Fundraising – Prasad Iyer None Tryouts/Supplementals – Jayme Casey U8 and U9 tryouts will take place 5/30-6/1. U11 and above will take place the first week of June. CT Rush will plan around the travel tryout schedule. For U10 and above, tryouts are based on the following- 50% from the current coach’s evaluation and 50% from the tryout session. There should be no coaches for that age group at the tryout session. When a player accepts a roster spot, it needs to be clear that travel soccer is a full year commitment. The group discussed the timing of the spring coaching fees and having the payment happen earlier (January) to avoid last minute cancellations, Fields & Operations – Gabe Tully Comstock and Merwin were very wet and will hopefully be ready this week. There is a need for two 8v8 goals at Merwin. The fields at Ambler are very rough. On Ambler 1, the new sod in front of the goal is not even with the field and should be looked at for upcoming games. Web Director – Michelle Haggerty Registrations are in progress and the schedules will be finalized soon. Michelle will present ideas for the online store at the next meeting. The store will provide on demand orders and the WSA will earn a small percentage from each order. For referee registration, there needs to be a secure database so all information can be entered, including socials security numbers.
