Soccer Club of Guilford Board Meeting Meeting Minutes February 12th, 2015

Opening: The General Meeting of the SCOG Board was called to order at 7:10 PM on February 12th, 2015 in the Guilford Community Center by Joe Guerra its’ President. Present: Joseph Guerra, Enrique Rivera, Shadi AbuGhazaleh, Joshua Krusewski, Meg Malatesta, Duncan McClintock, Victoria Corsini, Kamila Brettman, Brett Donoghue, Dan Miller, Ray Iglesias, Jeff Parker Absent: Gene Mulone, Tim Paris Attendees: John Hess, Taylor Shutak, Justin Rice Approval of Agenda The agenda was unanimously approved. Approval of Minutes General Meeting A motion to accept January minutes was made by Shadi AbuGhazaleh and seconded by Victoria Corsini. Board Member Reports President Joe Guerra 1. 2. 3. 4.

Fields Coordinator has a replacement in training. Solid Lead on Equipment manager replacement. We review and recruit. Recruiting for Vice President on hold Discussed the By-Laws re-write or replacement with club attorney. Attorney has requested a document stating in simple terms the goals and desires of the club as well as any changes. He will then draw up the changes. Additionally the attorney indicated that, if needed, any member can make a motion to forgo elections and continue the existing board. If the board votes and approves we could continue as is for the motion duration. Vice President Unfilled Position Treasurer Kamila Brettman 1. All known expenses are all paid to date. 2. The CT Department of Labor audit of the SCOG is still undergoing.

3. Total Collections: $1,987.26 (down $1,797 from last month’s $3,784.26) A) Prior Seasons: $543.26 (3 registrants) B) Fall ’14 – Spring ’15 Season: $300.00 – this represents declined/expired recurring credit card transactions; (3 registrants)

C) Winter Indoor: 1. Winter Indoor Games U16 Travel Comp Girls $174 - initial costs were not known at registration (2 registrants) 2. Winter Indoor Games U13 Travel Comp Boys $35 - initial costs were not known at registration (1 registrant) D) Spring ’15: 1. Waitlisted for 2015 Spring U10 Comp $325 (1 registrant) 2. U11-U14 Travel Rec $185 (2 registrants) 3. U11-U14 Travel Comp – New Members $325 (1 registrant) 4. U16 Travel Comp $100 (1 registrant) Collections follow-ups are being made weekly. The SCOG Year To Date Financial Statements and all Statements back to Fiscal Year 2009 are available in printed from at tonight’s meeting. Included for each Fiscal Year: Balance Sheet, Profit and Loss and General Ledger. Registrar Victoria Corsini Sandra MacMillan, Assistant Registrar I attended the annual CJSA dinner with Joe Brett and Dan and this is an new update as far as registering is concerned major change has occurred to the cjsa registration system that affects all adult coaches, managers and volunteers. In the past when regiatrars uploaded coaches and managers and volunteers it allowed all and then we needed to get the background check complete. NOW all adults MUST HAVE A BACKGROUND CHECK COMPLETE BEFORE UPLOAD! The system will not allow them to upload unless the background check is complete. Names and birth dates MUST match with how they are registered in our system. This needs to be done in a timely fashion as it will delay rosters and passes if not done. Director of Coaching Josh Krusewski Winter training session 1 finished well Session 2, sold out with waiting list at younger and 17 out of 20 at older Offered first new CT license offered 1/31 The Connecticut Youth License/G Certificate for youth coaches will be offered in both English and Spanish - contact Mario Prata at CJSA to register - there is a registration fee - 7:30am (This is a new, innovative course for new coaches not ready for the E License.) 2 coaches attended in January No U19 teams – only 3 registered in a four week period Registration to begin soon on older teams that are set; U16 G – ONE TEAM – Complete Gathering interest still, then to finalize makeup U16B – Looks like TWO TEAMS – may elevate some 14’s so we don’t have to turn away 11 or 12 players

SCD team submissions due 2/17, will be making adjustments to those that need to be adjusted based on competitive environment. SCD scheduling “MID MARCH” SCD considering a “champions league type” statewide league due to inconsistencies in league play competition Discussed with Branford Soccer Club about helping on the U12TR Girls side. U10 TR re register completed and we are back close to where we were, retention great Began asking coaches for the following this is due 2/20 Training days Tournaments State Cup U5 Clinics Adam Cohen has been secured for Saturdays. Registration to launch soon IHR discussion (Simplified from Nov discussion) – additional detail was emailed out - Would like to add additional training day to IHR U8,U9,U10 - Would like to assign paid “leader” for each age and gender to be age group “coach”. This coach will work with the parent volunteers but ultimately be responsible for running the age group as it relates to training structure (develop coaches and players) - Possible stipend for the season $750-$1000, no games on Saturday - Leaders selected by IHR coordinator in conjunction with DOC - Game day – we decided to stay with “teams” - Game day – we want to play small sided, up for discussion; How small is small sided 4 v 4? (registered numbers should have impact on decision but we should have an idea) Field / Goal setup Referees or not, role of referee and coordinator Director of Recreational Programming Brett Donoghue 





Working on presentation for In House Rec- U8/9/10 with changes in structure. Proposing going to Academy style training 2x a week with a paid coach(leader). All players will train together but will be playing on teams in small sided games on weekend. Attended CJSA Dinner as well as Recreation Meeting with Milan Kesser. The state is really looking to promote for the recreation player. US youth soccer- small sided games. It looks like it could be a mandate down the road. Top Soccer programs- they would like all towns to offer or work jointly with another town. Referees, offered inservice 1 evening for all clubs(Judy Whalen). Gave contact info to Gene. Have reached out to Everson regarding U6/7 micro soccer.

Meg Malatesta Academy style presentation to general membership 2/12 6-7pm. Presented by Brett Donoghue. IHR boys and girls registration U6-10: Early bird reg opens 2/13 runs through 3/6 Regular registration runs 3/7 - 3/20 Shirt order to be placed at GSG 3/23 Season opens for U8-10 April 4th. Season closes June 20th (11 weeks gives us the option to not have soccer Memorial Day weekend) Season opens for U6-7 Arpil 11th. Season closes June 20th. Girls and boys last week of soccer will be round robin playoff. Propose that the first place team and runner up will receive medals. Registration underway. o TR Girls low numbers: TRU12G @ 5 registered and TRU14G @ 3. o Travel Rec Boys registration OK, TRU12B @ 17, and TRUB14 @ 18 registrations o Last call email going out. Deadline Sunday for team registration with SCD Tuesday. Will remind players that double roster with Premier teams allowed. o TRU10B pool back up to 35, TRU10G@18 registrations o Coaching assignment starting so coaches can be in place for scheduling in March. Winter play @sportsplex going great. More teams with better alignment on competition. Several teams are participating in session 3. Team assignment will begin next week. Shirt order updated list to be provided to S&R once registration and team assignment are complete.

Jeff Parker has agreed to come on as the new Fields Coordinator. He will be supporting me, and learning the ropes during the Spring season. We will transition the tasks to Jeff in the Fall season with my limited assistance.

Setup for Spring  Attended the Spring Fields meeting on February 4th at the Guilford Community Center with Jeff Parker.  Rick Maynard stated that the fields will be open for practices the last week in March, IF we get this snow gone.  The following 11v11 fields will be available for our use  Cox Upper Right Wednesday, Friday, and Weekends)  Leete #1 Every weekday after 5:00; Weekends  Rush is asking for this field for practices M-F. We could use some support from BOD in providing Parks & Rec some options  Parks & Rec would like Rush and SCOG to work this out without their interference  Cox Upper Left may be configured into an 11v11 field which could mitigate the above issue  Leete #3 Every weekday after 5:00; Weekends  We will have access to Bittner as well, after May 1st (only Games, no practices)  The following 8v8 fields will be available for our use  Chittenden Tuesday, Thursday after 5:00 PM and weekends  Cox Lower Tuesday, Thursday, Friday and Weekends  Cox Upper Left Every weekday after 5:00; Weekends – may be configured into an 11v11 field  Leete #2 has been reconfigured to accommodate the new U8-10 guidelines and will no longer be available as an 8v8 field  Long Hill Park Rear field is available Tuesday, Wednesday and Thursday for practices – no weekend games  The following small fields will be available for our use  Leete #5 has been reconfigured to accommodate the new U8-10 guidelines and will no longer be available as a small field  Guilford Lakes field is closed for the season for repairs  According to the new guidelines we will have no further need for small fields  Leete #3 will once again be used for Micro on Sundays  Do not have the date for the SCD Spring Scheduling meeting – should be the first Sunday in March Web Administrator Joe Guerra 1.
