The Vestry Meeting Wednesday, December 16, 2015 St. James Undercroft Present: Eric Blake, Barbara White, Martha Staley, Susan Benson, Father Rob Willmann, Janet Stewart, Sherry Gillespie, Jane Ellen Wiles, Bob Welsh Kelly Miller, Kathy Shesky and Lee Donoho. Others in attendance: Mindy Rush, recorder and Eleanor Bailey, Treasurer. Absent: Opening Prayer: Fr. Rob Willmann opened the meeting at 7:00 by leading the group in the Lord’s Prayer. Approval of Agenda: Sherry Gillespie made a motion to approve the agenda. Jane Ellen Wiles seconded the motion. Motion was carried to accept the agenda. Approval of Minutes: Eric Blake made a motion to accept the minutes with corrections. Barbara White seconded the motion. Motion was carried. Rector’s Report: The Rector’s oral report consisted of these points:  St. James is doing well.  Kim Gillespie has resigned effective January 1, as our Children's Education Director o This will be an issue we will address in 2016.  Two people are required to be in attendance with children  Mindy Rush will notify parishioners and ask for their patience as we help our toddlers and very young children mature.  Fr. Willmann wants to see children in church  How can this be addressed to make everyone feel comfortable.  This year's Christmas party was the largest ever. Additional discussion or questions: No additional comments or questions. The Senior Warden’s Report: The Senior Warden’s written report consisted of these points:    

We had a successful year We continue to do outreach through our Friendship Dinner We have experienced a sold capital campaign and our parish continues to show that we are a committed, solid group of parishioners spreading the Gospel We continue to be good stewards of our buildings and grounds and have repaired the dishwasher and replaced our tools for grounds care

The Junior Warden’s Report: Junior Warden Jane Ellen Wiles indicated she did not have anything to report. Additional comments or questions: Side Walk Repair Barbara White asked about the status of the sidewalk that needs repair.

Eleanor Bailey asked if that repair could be done in the winter Jane Ellen Wiles indicated that there was no update on the sidewalk. Bob Welsh asked if bids need to be sought and was told by Jane Ellen Wiles that there would need to be as she was sure it would be over $500.00 Trees Trees R Me has been notified to do removal of front two trees. Trees R Me will determine necessity of permit and will provide proof of insurance The Treasurer’s Report: The Treasurer’s written report consisted of these points:  We are holding our own and predict that will end the year approximately $2000.00 ahead of what we spend and approximately $500.00 under budget.  Painting of Mindy Rush's office - The plaster is cracking and the paint is peeling for lack of care. There is also something black at the top of the molding - not sure what it is but I know it should be there. When we have the painters here to paint the church, could we have them paint her office at the same time? We can build it into the budget in 2016 with vestry's approval. Additional comments or questions:  Sherry Gillespie and Jane Ellen Wiles suggested that the repairs/painting to the office be done internally. After discussion concerning the time line and labor needed to do the repairs and painting internal, Bob Welsh made a motion to have the office and copier room repaired and painted professionally. Susan Benson seconded the motion. Motion carried  Eleanor Bailey indicated that she had signed and returned a letter from the diocese concerning our mission share. The diocese is asking for an additional $3100.00 a year which would have brought our share to $28.336.41. Vestry approved a motion, in November, to continue to pay the current rate of $25,204.92.  Eleanor Bailey also indicated that she was adjusting the line item in hourly employees wage reports. As it currently is reported she is including those monies which are paid on the employees' behalf (St. James' share of social security etc.). That information will now become a separate line item. This is being done so as not to inflate what appears to be an employee's income.  Fr. Willmann added that this year was the first time since 2006 that we have reached $100,000.00 in plate and pledge. He stated that he sees this as a restoration of trust. Kelly Miller made a motion to accept the Treasurer’s Report. Sherry Gillespie seconded the motion. Motion carried. Administrative Office Report The Administrative Office oral report consisted of this update. It will cost $245.00 to replace all items needed in the 4 first aid kits as the items were dated 2003 or before. It was suggested to ask Barbara Saunders to see if Dr. Karl Saunders would be able to assist with a purchase of some or all of the needed items.

Committee Reports: Vestry Nominating committee Names to be placed on the ballet for 2016 Vestry Sr. Warden - Kelly Miller Jr. Warden - Barbara Saunders Vestry members - Evan Abood, Nannette Sherman, Martha Staley, Carol Thompson, and Jane Ellen Wiles Old Business: Dishwasher Our dishwasher had another small leak. The cost of repair was $83.55 for the part- no labor or service charges were incurred. This leak has been attributed to additional water pressure after the initial repairs were completed. Initiative Updates  Sherry Gillespie provided the following information on behalf of ray Gillespie A request has been made to Gary Moore to provide a bid for electrical work Ray Gillespie has also left a message with TNT Scaffolding, from Columbus. Scaffolding is needed for the masonry repair.  Fr. Willmann reported that Martin Painting will provide an image of painting to be done to church using the proposed colors (soft white and celestial blue) New Business  Proposed 2016 budget with changes was review. Janet Stewart made a motion to accept the 2016 proposed budget. Kelly Miller seconded the motion. This motion carried  Susan Benson asked that the following items be added to the Jr. Warden's list of needed repairs o Missing ceiling tiles be replaced o Floor tiles in the upstairs changing room o Lights in the women's bathroom does not always activate/deactivate with switch position. Adjourn Barbara White made a motion to adjourn. Lee Donoho seconded the motion. This motion carried. The meeting was adjourned at 8:15 P.M.
