The Vestry Meeting Wednesday, January 20, 2016 St. James Undercroft Present: Evan Abood, Susan Benson, Sherry Gillespie, Kelly Miller, Barbara Saunders, Kathy Shesky Martha Staley, Bob Welsh, Jane Ellen Wiles, and Father Rob Willmann. Others in attendance: Mindy Rush, Recorder. Absent: Lee Donoho and Janet Stewart Opening Prayer: Fr. Rob Willmann opened the meeting at 7:00 by leading the group in the Lord’s Prayer. Approval of Agenda: Approval of Minutes: Sherry Gillespie made a motion to accept the minutes. Susan Benson seconded the motion. Motion was carried. Rector’s Report: The Rector’s oral report consisted of these points: Fr. Rob Willmann indicated that he had no additional information to share since the annual meeting on Sunday, January 17, 2016 Additional discussion or questions: No additional comments or questions. The Senior Warden’s Report: The Senior Warden Kelly Miller’s oral report consisted of these points: Our Vestry committee lists need to be updated during the February meeting. We continue to need to look at changing our money managers so that we receive a better return on our investments. Additional comments or questions: Additional comments centered on the changing market. The Junior Warden’s Report: Junior Warden Barbara Saunders’ oral report consisted of these points. Barbara Saunders received an email on December 29th from the Industrial Appraisal Company. The email indicated that the company had not received a current update of market values of church items o Discussion –It was suggested that we request from Industrial Appraisal the last list they have so it can be updated.
Sidewalk has four areas that need repaired. Kelly Miller stated that the Vestry has already voted to have the sidewalk repaired/replaced but he has a concern that the current sidewalk is not wide enough for a wheelchair/walker. Jane Ellen Wiles shared names of two companies that might be able to do the work. Barbara will look into having the sidewalk lifted, leveled and any additional needs of the supporting ground while being cognizant of the possible need of widening it or replacing the entire sidewalk.
Additional comment or questions: Susan Benson asked about the two Weeping Cherries and were they being removed. o It was affirmed by Kelly Miller that –yes- these trees were included in the motion re: tree removal and should be removed. The Treasurer’s Report: No additional information as a yearend report was given Sunday January 17, 2016 Administrative: Mindy Rush’s oral report consisted of these points. Mindy Rush ask if there were any suggestions as to distribution of the second basket. Discussion had been held previously regarding this matter. o There are currently no suggestions. This will be handled once the update of committees has occurred. Elevator – o St. James’ elevator was due for a 5 year load lift test. This test is to be initiate by St. James. The State Inspector notified the office that this test was due and was not done. Mindy Rush informed the Vestry that she had been in contact with Gable Elevator and was told they would perform the test as soon as they were able. The inspector also indicated that the alarm was not working. Mindy Rush ask if the Vestry wanted to consider a contract with Gable Elevator to assist with regular maintenance and tests. This is not something the Vestry wanted to do at this time Committee Reports: ECW will be meeting Sunday January 24, after church to check the condition of the green dishes. Old Business: Annual meeting o Sherry Gillespie stated she was surprised that no one asked how initiative was coming along. Sherry suggested that we hold more “talking sessions” with pot luck dinners to give parishioners a chance to ask questions. o Susan Benson stated that she had been approached for information and asked about a time line of renovations. Father Rob Willmann will update the parish. A lengthy discussion occurred re: the need to begin building renovations. Bids for work continue to be slow in coming. Stone work will begin as soon as the weather breaks. Mindy Rush will make announcements in the bulletins on the progress of work. Shroud Encounter o Saturday – 4:00 with reception after o Sunday - 11:30 (light lunch) with presentation at 1:00 o Cost is $20.00 with persons 17 and younger $10.00.
Kelly Miller reminded the Vestry that as “points of contact” they needed to be encouraging and welcoming to families with young children (since we no longer have a nursery/Sunday school program) as the Vestry continues to work on ideas for this area of concern. o Discussion followed on various points of view and ideas. New Business:
Father Rob Willmann indicated that Mother Kathryn Clausen will do the Great Vigil at 8:00pm. He will also work on setting up the Vestry Retreat for some time in April.
Adjourn Sherry Gillespie made a motion to adjourn. Susan Benson seconded the motion. This motion carried. The meeting was adjourned at 8:06 P.M.
