Westfield Athletic Booster Club Meeting Minutes May 19, 2014 Present (10) Brad Harrison, Debbie Harrison, Doug Luce, Beth Ellis, Nellie Beam, Bill Davis, Bonnie Verhoff No motion made to approve April minutes Presidents Report – Current president resigned due to time conflicts. Brad Harrison has volunteered to be the president, rather than the vice-president role. Motion made to approve Brad Harrison as president – all present approved. Treasure Report – No motion taken to approve financials – cheer group is not correct Healthy balances of accounts Invoices for baseball are for practice packs Lids includes WYSI Beth Ellis has not received monthly financial statement since December 2013 Athletic Director’s Reports WHS– Bill Davis City approved stadium project for approximately $2.5 million – Brad asked if WABC can facilitate – Bill advised they would like to entertain groups in the future, i.e. city council members. Beth made a motion for WABC to approve the funds to support. Brad 2 nd motion. All in favor. Track sectionals – girls on Tuesday and boys on Thursday Golf sectionals within a week WMS – Doug Luce Currently in the last week of sports at WMS 7th grade baseball – only lost 2 8th grade baseball – good shot @ conference on Saturday Track – boys and girls county on Friday Boy’s golf – good group. Lost 1 dual & runner up in conference. Will finish this week. 7th grade softball – struggled 8th grade softball – 1 loss only/conference Saturday – favored to win Spirit Clubs Cheer – Beth Ellis – fall sports will have 21 varsity cheerleaders, 11 JV and 4 pending injuries. Rocky callout coming up. Middle school tryouts week of 5/28. Parent meeting this week Baseball – Nellie Beam – tournament last weekend. Westfield won. Senior day will have 9 seniors this year. Fundraiser T-shirt sales and mulch sales made ~ $3000 which they considered good for the first year. They also participated in “Stop Domestic Violence” day. Gridiron Club – Brad reported that they had their kickoff meeting last month and had a large turnout. Football equipment day is this Thursday. Practice 3 x week, tournament on 6/7 @ the Colts Camp. Committee Reports WABC Golf Outing – 23 teams now. Asked if Tradewinds was a hole sponsor. No but Bill will contact them. Event date is June 13, 2014. Value Card – Andy Tebbe had suggested that ALL teams participate in the fundraiser. He was to discuss with Bill Davis and present at the May WABC meeting. We will reach a larger number of athletes to sell the cards and also eliminate the need for other fundraisers. Bill to speak with Andy and discuss with the group at the board meeting. Membership – Shannon presented a revised 2014/2015 membership plan at the meeting in absentia. Need to get tri-fold revised. Bill to talk to Jeff B. regarding the issue Need to decide whether to continue with the stadium chair – Bill will speak with Shannon but group decided to continue with the chair
Need approval of WABC for funds for 3x9 Banner with members. Motion made by Nellie to approve; Beth 2nd – all approved Thank you letters to be sent to existing 2013/2014 members, including a Mike’s carwash coupon. Bill has the letter and Debbie & Brad to send out with the coupons. Parade Committee – September 18, 2014 prior to HSE game on 9/19 Shannon attached proposed 2014 budget. They have chosen Scott Lidskin as the Grand Marshal, retired Cross Country coach. Need approval for $600 request for the committee – same as last year Motion made by Nellie to approve – Beth 2nd motion – all approved Old Business – Gaming License – Brad has been submitted. Should get approval to apply, pay the fee, then 6 weeks later would have license. Should be in time for football season. Signature cards still need to be signed. Need copy of Bill McAfee’s driver’s license @ the bank. Nellie asked about spring sports in the Current newspaper. Group decided to run again. Nellie is to have Andy get the new information and pictures to run. New Business – Question asked about new stadium groundbreaking. Monon Trails will hold some baseball games but need to do some work on it. Land sold for $4 million. Purchased west side of Shamrock Drive with option to keep east side for 5 years. Deal will not close until July. o 5/28 – bids to go out o 6/11 – pre-bid meeting o 6/18 – bid meeting o 6/24 – approval Board meeting to be held in July – agenda items o Trash bag fundraiser o Wreath fundraiser o Banners for membership Meeting Adjourned @8:10pm.
