Ball State University Textbook Authorization Policy & Procedure Athletics Compliance Office Policy: 1. The Office of Scholarships and Financial Aid will submit the list of student-‐athletes eligible for textbooks to the Barnes & Noble Bookstore. The student-‐athlete will not be issued textbooks if they are not on the list. 2. Textbook allowance is applicable to required textbooks only. The Athletics Compliance Office (HP 148) must approve all recommended textbooks and supplies. 3. Student-‐athletes are allowed to write their name, address, and phone number on the inside front cover of the textbook, and may highlight information with a marking pen. Do not mark the textbook in any other way. 4. If a student-‐athlete chooses, they may purchase the textbook at the end of the semester at a used book price. Visit the Athletics Compliance Office for additional information. 5. If a student-‐athlete fails to return textbooks at the end of the semester, the Athletics Compliance Office will bill the student-‐athlete for the full amount of the charges, and the student-‐athlete will not be permitted to receive textbooks for the next semester until the account is paid in full. 6. If a student-‐athlete writes or marks in a new book, then drops the course, the student-‐athlete will not be permitted to return the textbook at a new book rate. (Note: Student-‐athletes are encouraged not write in the textbook until they have attended a class, and know they are not dropping the course.) 7. Student-‐athletes will be issued used books when available. 8. If a textbook is lost, or damaged, the student-‐athlete is responsible for the replacement value. If a textbook is stolen, student-‐athletes must file a stolen textbook report with the Campus Police Department. They must immediately notify the Athletics Compliance Office and present a copy of the police report. Student-‐athletes will not be permitted to charge a second textbook until the report has been filed and permission granted by the Athletics Compliance Office. 9. If a student-‐athlete adds a class after the original schedule has been submitted, student-‐athletes must obtain a Textbook Authorization from the Athletics Compliance Office to receive additional required textbooks. In addition, for any class dropped after receiving textbooks, those textbooks must be returned immediately to the Barnes & Noble Bookstore and the receipt presented to the Athletics Compliance Office. 10. Student-‐athletes must be receiving a full grant-‐in-‐aid in order to receive a textbook scholarship. Procedure: 1. Student-‐athletes will pick-‐up their required textbooks at the pre-‐designated time. Textbooks will be pre-‐packaged and picked-‐up at the Barnes & Noble Bookstore. 2. Student-‐athletes must present a printed copy of their class schedule and Ball State ID to complete the transaction. Student-‐athletes will be asked to sign for their textbooks. The receipt must be presented to the Athletics Compliance Office. 3. If a student-‐athlete adds a class, student-‐athletes must have an approved Textbook Authorization from the Athletics Compliance Office to present at the time of textbook pick-‐up. 4. All textbooks should be obtained from the Barnes & Noble Bookstore. If a student-‐athlete has an issue obtaining a textbook, contact the Athletics Compliance Office. The Barnes & Noble Bookstore will secure all textbooks for the student-‐athlete’s use. Student-‐athletes are not permitted to purchase textbooks from any other bookstore or supplier. See the Athletics Compliance Office if a professor requires a textbook from a bookstore other than the Barnes & Noble Bookstore. 5. Once a student-‐athlete receives a course syllabus, they are to review the textbooks required by the instructor. If a student-‐athlete receives a pre-‐packaged textbook that is not listed as required on the syllabus, the student-‐athlete must take the syllabus and the textbook to the Athletics Compliance Office immediately. The Athletics Compliance Office will determine if the textbook is appropriate for the course per NCAA Bylaw 16.3.1. If a student-‐athlete needs course related materials or supplies, the Athletics Compliance Office must first provide a Textbook Authorization. 6. At the end of the semester, student-‐athletes are required to return all textbooks to the Barnes & Noble Bookstore. This will take place during FINAL EXAM WEEK. Student-‐athletes will be notified of the exact times and dates prior to the week of exams. All supplies (calculators, lab coats, etc.) must be returned to the Athletics Compliance Office. 7.
