GRANTS TEAM ADMINISTRATION ASSISTANT (Fulltime) Calgary Foundation Since 1955, Calgary Foundation has been nurturing a healthy, vibrant, giving and caring community that values diversity and supports all people. The Opportunity Reporting to the Director Governance, HR & Admin, the Grants Team Administration Assistant is responsible for a variety of office and administrative support duties to assist Grants staff in advancing the impact, accountability, professionalism, and integrity of the Calgary Foundation’s (CF) different granting programs and processes. This position provides the opportunity to learn all aspects of the Foundation’s granting programs
Specific Duties Database Administration: 40% Process Grassroots Grants (Stepping Stones and Neighbour Grants) for Citizen Engagement Associate semi-monthly Process Agency and Managed Grants for Agency Development Associate (semi-monthly) Support Donor Grants Administrator in processing Donor Advised and Designated Grants as required Records Management: 30% Maintain data integrity and completeness by filing all hard copy and digital granting/fund files to ensure audit compliance for granting Archive hard copy and digital granting files according to retention schedules Offer suggestions to enhance organisational effectiveness Volunteer and Grantee support: 20% Support Jane’s Walk leaders to post their walks onto the Jane’s Walk website Coordinate borrowing and return of Grassroots grants flags/banners for community project events Attend Neighbour Grants meetings and take Minutes Assist in printing and collating information packages for volunteers

Correspondence: 10% Distribute and track grant acknowledgement and ‘thank you’ letters to grants team staff and/or Fund Contacts as appropriate Prepare and photocopy granting correspondence and internal audit documents for semi-monthly payment processing deadlines Prepare grant and agency agreements for Grassroots Grants Ensure grantees have current contact information Other duties: Provide reception coverage as required Perform other CF related duties as requested from time to time
Qualifications A minimum of 5 years work related experience, post-secondary education, ability to multi-task and prioritize, detail-oriented, strong planning and organizational skills, excellent written and oral communication skills, relational database and records management experience, and advanced Microsoft Office skills. Knowledge of charities’ needs and work in Calgary and area and an on-going interest in learning about the charitable sector are desirable.
