The Position The IPWEA (NSW) is a professional association and registered charity, providing member services, events and advocacy for those involved in and delivering public works and engineering services to the NSW communities. IPWEA (NSW) conducts a range of activities in support of its members’ professional development; facilitation of their peer networks and engages in advocacy on their behalf on a range of issues. This work includes a comprehensive professional development program delivered throughout NSW; an Annual Conference; a series of Regional Forums and regular communications through Newsletters, electronic and print, and the IPWEA’s web site. IPWEA (NSW) is a Registered Training Organisation (RTO) as well as a Not for Profit Association. The Events & Admin Assistant will be assisting in organising and delivering the Institute's Events program which includes the Annual Conference, Regional Forums, Local Roads Congress, Annual Engineering Excellence Awards and other events. The position holder will assist in attraction of new and ongoing sponsorship relationships. In addition to this, the Events & Admin Assistant will assist with the marketing of these events and the Institute including providing member services as a whole utilising a range of communication tools. The position carries a high level of accountability to act to ensure the Event program is relevant to member’s needs in terms of content, quality and currency; that frequency and delivery structures are designed to maximise member participation at a reasonable cost to the member and an agreed return on investment for the Institute through a strong events program. To be successful in this role, you will have a strong attention to details and you will love working with people and embrace the opportunities to engage and interact with professionals in the field, as well as speakers, VIP’s and sponsors, all of various professions. Scope of the Position The position is a full-time position The position works closely together with the Events & Operations Manager to achieve department goals The position reports directly to the Events & Operations Manager

INSTITUTE OF PUBLIC WORKS ENGINEERING AUSTRALASIA (NSW) EVENTS & ADMIN ASSISTANT POSITION DESCRIPTION Objectives of the Position Act as Admin Assistant for events, such as exhibitions, conferences, workshops, and forums Promote and support the opportunities for sponsors with IPWEA (NSW) Ensure marketing of IPWEA (NSW) products and services are based on sound analysis of need and ability to supply and/or compete Assist in ensuring communications between IPWEA (NSW), its members and external organisations are timely, effective, informative and relevant Assist in promoting the Institute’s policies and services to the Government and the Local Government Industry. Assist in developing and co-ordinate program to attract, retain and engage with members Assist in providing general office support including reception duties, support to the Events & Operations Manager and the Chief Executive Officer, administrative assistance and customer service. Key Responsibilities Assist with the delivery of all events including program content, venue selection sponsorship, delegate marketing and associated activities Provide administration support to the Chief Executive Officer, Events & Operations Manager and Sector Conference Manager, including data entering onto online systems, booking venues, confirming participants, preparation of conference and award materials Assist in establishing and maintain relevant databases of conferences, sponsors, speakers, VIP’s and participants Assist in the development of budgets for the Events Program including pursuing outstanding debtors in conjunction with the Finance & Administration Manager, Events & Operations Manager and Chief Executive Officer Events
Assist with tasks related to the Sector Conferences Assist with all tasks related to the Annual IPWEA (NSW) State Conference Assist with all tasks related to the Annual Local Roads Congress Assist with all tasks related to the Annual Engineering Excellence Awards Assist with all tasks related to the Annual Regional Forums and act on-site support at all 12 Forums Provide on-site support for the State Conference and Sector Conferences in metro and regional NSW

Such circumstances may include life threatening situations or those that could result in loss of limb or other significant lost time injury.
