HERMITAGE GIRLS SOFTBALL ASSOCIATION Meeting Minutes – January 12, 2016 Attendees: Dan Black, John Cataloni, Keith Fustos, David George, Steve Hallas, Steve Hand, Shawn Mulligan, Rick Testani, Keith Wansack & Joe White.

City Report – Joe White reported the City has requested the use of field #2, 9am-5pm on May 14th for LL opening day. HGSA can use field #2 after 5pm on that day. Also, the HHS softball team has requested the use of field #2 on April 23rd for a JV and Varsity game starting at 6pm. We can use their high school field for practice on that day.
Mercer Count Fast Pitch Report: Last meeting was Jan. 10th. Joe White was unable to attend but talked to Tiffany M. o They discussed last year’s expenses and decided to increase the league team fee from $250 to $300 for 10u-14u and $150 to $250 for 18u. o Next meeting is scheduled for February 21st, 6pm at Pizza Joes.
Secretary Report: o Mike Joanow was unable to attend but we need to follow up with the raffle ticket order ASAP for the Feb. 6th signups. We will follow the same format as LL this year with the raffle ticket payments. The purchase of the raffle tickets will take place at signups and not when they sell the tickets. We will send out an email to past players so they are aware of this change.
Treasurer Report: o Current balance in account is $10,146.94 for the start of 2016. Joe White needs to add John Cataloni to the PNC checking account.
The below registration flyers and documents were reviewed in detail and noted with revisions. Misc.: o Steve Hand requested sample jerseys to try-on during signups for new players. Shawn is going to contact Gina Reed for sample shirts. o Steve Hand also inquired about selling T-shirts or sweat shirts with our new approved HGSA logos. Shawn has agreed to discuss this idea with Gina Reed.

City Report – Joe White reported Neil H. from the City would like HGSA to purchase the Pavilion nets soon so that the City can install them before grass starts growing. Shawn M. and Mike J. will investigate the options for the nets. We prefer to stay with the #62 netting same as the High School. Also, consider going with 55’ long and need to decide if we need 12’ or 14’ high nets.
Mercer Count Fast Pitch Report: o The next meeting is February 21st @ Pizza Joe’s in Mercer, 6pm. Joe White is planning on attending.
Secretary Report: o We will need to follow up with selected coaches to verify their current coach’s clearances. o We are not offering 18u SP this year. However, we did have 1 past player inquire about a team. Joe W. informed her she could play with West Middlesex or Sharpsville. o We had 32 players register on the 1st signup day.
Concession Report: o Leann Martin volunteered to assist with concession again. She will help Dan and Steve with ordering and purchasing from Sam’s Club, when needed.
Treasurer Report: o Current balance in account is $12,647.02 which included the 1st signups for registration and raffle tickets. o The past sponsors were contacted: Dr. Gulland, Dr. Palitti, Dr. Roth, Scheidemantle, Subway and DQ. We have not heard back yet from Dr. Roth or DQ. Also, we have Joanow, Joy Cone and Donofrio in the past that sponsors. Steve Hallas mentioned Hickory Grill was looking to sponsor a team.
Misc.: o Stephanie S. requested black jerseys as a second option to the white jerseys for her 8u team.
Next board meeting will be March 15th at 8:00 pm at Hermitage Municipal Building. A coaches meeting will follow the board meeting.

City Report – Joe White reported two nets 12’x14’x55’ HDPE #62 square hung knotless with door, two black vinyl 5’x6’ backdrops and anchors were purchased from Ultimate Sport Gyms for $1,528.50. They should arrive next Wednesday. The City will install the nets.
Mercer Count Fast Pitch Report: o Last meeting was March 13th and was attended by Joe White. Finalized number of teams per division: 8u-8, 10u-11, 12u-12, 14u-10 Total games played by each division: 8u-10/14, 10u-12/14, 12u-16, & 14u-18 Scheduling game dates at 7th Street Education Building. 10u – April 2nd @ 4pm 12u – April 2nd @ 6pm 14u – April 3rd @ 6pm 8u teams will pay a $50 MC fee per team to cover game balls.
Concession Report: Shawn reported vending equipment was never picked up last fall.
Secretary Report: o We will order the same uniforms as last year. Our two primary colors were Red and White jerseys and Black if we had a third team. We will switch to Black to replace the White jerseys for two teams in a division. We will only use the White jerseys if we have a third team. o Please report all equipment issues to Shawn Mulligan. o When taking team pictures, please remember to get a picture or plaque for the team sponsor. Jim Pitts use to supply them free to the teams.
Treasurer Report: o John Cataloni reported the current balance in our account is $16,100.72 ($7,830 income & $1,876.22 expenses for 2016), this includes all signups & raffle tickets but no sponsor fees. o We have eight sponsors that have committed to our teams: DQ, D’Onofrio, Dr. Gulland, Dr. Palitti, Dr. Roth, Joy Cone Co., Scheidemantle, and Subway.
Fast Pitch Updates: o We have 101 players registered with the following division counts; 8u-22, 10u-30, 12u-27, & 14u-22. o We are recommending the following number of teams per division; 8u-2 teams of 11 players, 10u-2 teams of 15 players each, 12u-2 teams of 13 and 14 players, & 14u-2 teams of 11 each. The actual numbers will be finalized during the draft. o Manager nomination and selection was conducted. Red 8u – no volunteers, Shawn Mulligan will volunteer if someone does not. Black 8u – Stephanie Schneider, selected Maggie Ference as head coach Red 10u – Joe White, selected Mike Joanow as head coach Black 10u – Steve Hallas, selected Frank Thompson as head coach Red 12u – Kevin Reardon

Practice & Game Day Selection forms were given to managers to select their practice and home game day.
Misc.: o Mike Joanow made a motion to allow Jeff Malinowski to request permission from the City to use HGSA complex for fast-pitch pitching lessons on Tuesdays during the spring and summer. David George seconded the motion and the motion carried.

City Report – Joe White reported the City hung the two nets. The backdrops were never received but shipped out this week. The City already installed the anchors for the backdrops.
Mercer County Fast Pitch Report: o Last meeting was April 3rd and was attended by Joe White. The 14u division was reduced from 10 teams to 9. Therefore, they are only playing 16 games this year. The next meeting is May 15th, 6pm at Pizza Joes.
Fast Pitch Updates:
o The Final Team Counts using Red and Black team names: 8u-2 (13 & 12), 10u - 2 (14 each), 12u2 (14 each) & 14u-2 (12 & 13 each) – 106 players o Practice days were assigned and games were scheduled and we have not heard of any revisions needed. o We need to pass out 18u Signups to the high school players.
Concession Report: No directors were present to give a report. They need to get concession signups going.
Secretary Report: o The Augusta Sportswear #527/528 jerseys were ordered again this year. We only have two teams per division so we are only using Red and Black jerseys, no white. o Managers and coaches still need to turn in their clearances.
Treasurer Report: o John Cataloni reported the current balance in our account is $12,686.71 ($11,212 income & $8,672.23 expenses for 2016), includes all signups and sponsor fees. o Managers will be given their umpire game checks at the end of the meeting.
Misc.: o Joe reported a Mr. Campbell called him about his daughter moving to Hermitage from California in May. She is 14 yrs. old and wanted to play softball this summer. Both teams currently have 12 players and the Black 14u team gets the next pick. We will try to add her to the Black 14u team, if it is not too late with insurance and uniforms.

City Report – The City does not want to install gravel parking spaces in front of Pavilion. They also do not permit parking on the grass areas around the Pavilion. They still need to install the turf On Deck Circles on the fields when they find turf. In the meantime they have paint sprayed circles on the field. o
Shawn asked about getting garbage cans by the Pavilion. Joe White informed everyone that the City was getting garbage cans and signage for use.
Mercer County Fast Pitch Report: o Last meeting was June 5th to schedule 18u games and was attended by Joe White. There are four 18u teams comprised of Greenville, Hermitage, Mercer and Sharpsville. Each team will play each other three times for a total of 9 games. The yearend tournament will be July 25th-29th and hosted by Hermitage.
Fast Pitch Updates:
o 18u registration was completed with 13 players signing up. They were charge $40 plus the concession deposit. o 10 of the 13 players on the 18u team will also play in the Mineral Ridge league. They will play half the MR season of 10 games. The players paid $40 each to play in the MR league.
Concession Report: Dan Black was not present but it was recommend that there needs to be more communication to the parents about reporting to concession duty.
Secretary Report: o 18u uniforms and ASA insurance was ordered.
Treasurer Report: o John Cataloni reported the current balance in our account is $7,776.46 ($15,583 income & $17,953.48 expenses for 2016). o Spent $4,525 on concession investments and $2,016 income has been received as of May 27th.

Reviewed and approved June 8, 2016 Meeting Minutes as presented. Steve Hand made the motion to accept minutes as written and Shawn Mulligan seconded the motion and motion carried.
City Report – o Joe White talked to the City about installing a fence around the Pavilion. He got a quote from G&J Fencing on several options with maximum cost of $6,650. Kids are vandalizing the new nets. The fence will enable us to prevent this vandalism and enable us to keep equipment inside the pavilion such as pitching machine and balls. The City does not want to install a fence because they want it open to the public. However, they recognize the issue and may be open to installing a fence with a combination lock on the gate to give out to the appropriate individuals. Shawn Mulligan made a motion that HGSA would assist with purchasing half the cost of the fence, not to exceed $3,500, if this helps persuade the City to install a fence. Mike Joanow seconded the motion and motion carried. o The On-Deck Circles were never installed with turf on the field. The City used painted circles during the season. We will talk to them about installing clay circle areas instead of turf.
Mercer County Fast Pitch Report: The next schedule meeting is August 28th, 6pm at the 7th St. Building. The meeting will finalize fall ball teams, number of games and game locations.
Fast Pitch Updates:
o 18u season went well with Hermitage hosting the playoffs. Sharpsville won the tournament beating Mercer in the finals. Hermitage finished 2nd regular season and 3rd in YE tournament. o The Hermitage 18u team did very well in the Mineral Ridge league going 9-1-1. It was a good experience and we should look at it again next year if there are only a few MC 18u teams. o Fall Ball Coaches will be Mike Joanow – 10u, Ed Ohl – 12u and Shawn Mulligan 14u. We may have two 10u teams because of the number of players. Mike will coach both teams and Steve H. will assist. Coaches will contact Joe W. to reserve practice field time slots.
Concession Report: Dan Black was not present to give a report. We will keep the concession equipment in case we host fall ball games.
Secretary Report: o Coaches will have to collect fall ball registration fees once we know number of teams and divisions.
Treasurer Report: o John Cataloni reported the current balance in our account is $10,097.32 ($20,819 income & $20,868.62 expenses for 2016). Mike Joanow made a motion to accept balance and Steve Hand seconded the motion, and motion carried. o $1,530 concession profit as of August 1st.

City Report – o Joe White talked to the Neil H. from the City about the pavilion nets. The City will take them down for the winter and store them. They will deteriorate faster if left out in the winter conditions. o The On-Deck Circles were never installed on the field. We will remind the City to consider clay base OnDeck Circles instead of painting white lines. o Next season we need to look at installing lights in the pavilion. o Ed Chess was going to try and push the pavilion fencing issue in our behalf.
Mercer County Fast Pitch Report: The last meeting was on Oct. 16th. During the meeting we discussed fall ball and nomination of board positions for 2017. The next scheduled meeting is December 11th, 6pm at the 7th St. Building. At this meeting board members will be appointed for 2017 season.
Fast Pitch Updates: o The Hermitage 10u and 12u fall ball teams had 19 players and 15 players respectively. Both
teams had enough players for two teams. Special thanks to Mike J. and Ed. O. for managing the 10u and 12u fall ball teams. Also, thanks to Steve H. and Shawn M. for assisting. All of the 10u fall ball games at HAC were played over the six week season. The Hermitage 12u team missed one weekend due to weather at the Sharpsville fields.
Concession Report: Shawn Mulligan reported that any food that would spoil is all gone from the concession. It was cleaned up and coolers and refrigerator were unplugged with doors propped open. The electrical appliances were also unplugged. The freezer is still operating. Guarnieri’s equipment was picked up and returned. The City will winterize the building.
Secretary Report: o During the December meeting, we will conduct nominations and vote on board members for the 2017 season.
Treasurer Report: o John Cataloni reported the Fall Ball Concession had a net deposit of $1,246 after expenses of $703.27. The final net concession income for 2016 season was $2,588.73. Our current balance is $11,326.54 ($22,775 income & $21,595.40 expenses for 2016).
Next board meeting will be December 13th at 8:00pm at Hermitage Municipal Building. Meeting was rescheduled to December 20th at 8pm due to traveling conflicts.

City Report – o Joe White needs to follow up with the emails he sent to the City about the “On-Deck” circles and fencing around the Pavilion. o We need to look at installing lights inside the Pavilion next year, if funds permit.
Mercer County Fast Pitch Report: o The last meeting was on Dec. 18th. New Board Member Officers were elected for the 2017 season. Joe White President, Jim Miller VP, Amber Liska & Jen Gilmore Co-Secretary & Brent Hanley Treasurer. o Next meeting is Jan. 15th @ 7th St. Building in Sharpsville.
Fast Pitch Updates: o Steve Hand recommended that we somehow try to get multiple games played on the same day
so the concession stands can maximize their profit and make it easier to schedule workers. It is difficult to accomplish because coaches from other communities select their game days per their personal schedule. o Mike Joanow will look at coordinating a “Ceremony Day” at the fields for the Hermitage teams on Saturday in mid-May. The Hermitage teams would play each other if we have two teams per division.
Concession Report: There was nothing new to report since last meeting. Batting cage nets will be stored in concession stand for winter.
Treasurer Report: o John Cataloni reported we had a net gain of $1,179.60 in the 2016 season. The final 2016 season account balance is $11,326.54.
