HERMITAGE GIRLS SOFTBALL ASSOCIATION January 11, 2012 Association Meeting Minutes Board Members: Joe White, Cherie Layshock, Jane Gustas, Corrine Combine, Ed Chess, Bill Stitt Participants: Bob Hearns, Paula Hearns, Amy Hines, Dan Black, Tammy Schuermann, Bill Schuermann, Dave Haines, Tim Yanak, Lisa Yanak 1.

Old Business: a. Meeting Minutes December 14, 2011 Association Meeting Minutes were approved and accepted by the Board. b.

Items Still To Be Discussed and Assigned: High School Seniors needing community service hours for concession work Additional tournaments to be held at Hermitage fields Assign team parent to be liaison with VPs Practice Facilities / Buhl Club & Dome at Thiel College Fundraiser Opportunities – (Need to raise minimum of $4,000): - Softball Clinic run by High School Softball Team before high school season begins - Additional Tournaments - Raffle Tickets

New Business: a. Nomination of 2012 Board Members: President - Ed Chess VP Slowpitch – Bill Stitt VP Fastpitch – Dan Black Secretary – Paula Hearns Treasurer – Corrine Combine Equipment/Uniforms – Joe Perrico Fundraiser Chair – Gretchen Geibel Concession – TBD b.

Election of 2012 Board Members: The above noted nominations were elected into position. The positions are for the 2012 Hermitage Girls Association Calendar Year and the positions begin as of January 11, 2012. All 2011 Board Members are to turn over any pertinent Association paperwork to the newly elected Board. NOTE: The Concession position is still open and further discussion will take place at the next scheduled Association meeting.

Voting Rights: Board members all have one vote per member; participants must attend two consecutive Association meetings to be eligible to vote. If an even number is eligible to vote, the President of the Board will remove him/her self from voting. 1

2012 Registration: Registration is scheduled for Saturday, February 4th: 9:00 am – 12:00 pm at City Building Registration Fee Structure: $40.00 each / Maximum of $80.00 per family Sponsor Fee: $300.00 per sponsor. Ed Chess has put information in the Hermitage Newsletter and will submit registration information to The Sharon Herald.

Registration Planning Meeting: Registration planning meeting scheduled for: January 25, 2012: 6:30 pm @ City Building. All Board members are requested to be in attendance.

New 6, 7, 8 year old (8U) Fastpitch Division: Registrations and Volunteer Coach Forms will be accepted for this division, however, monies will not be collected until confirmation with Mercer County Softball Association that game times will be scheduled.

g.

2012 Uniform Costs: It was determined that all teams will have a maximum cost of $20.00 per player for uniforms. Quotes from two local t-shirt companies will be compiled by the secretary and a determination will be made at the next Association meeting. The secretary will be responsible for collecting t-shirt orders from coaches and placing the order.

h.

2012 Fastpitch & Slowpitch Skill Session (Try-Outs): Tentative date scheduled for Saturday, March 24th at Hickory High School.

HERMITAGE GIRLS SOFTBALL ASSOCIATION 2012 Hickory Girls Softball Association SLOWPITCH Age Divisions: Confirmation of player age will be made by submission of copy of birth certificate. Players age for team registration follows ASA guidelines of January 1st. 13, 14, 15, 16, 17, 18 year olds (18U Division) 8, 9, 10, 11, 12, year olds (12U Division) 2012 Hickory Girls Softball Association FASTPITCH Age Divisions: Confirmation of player age will be made by submission of copy of birth certificate. Players age for team registration follows ASA guidelines of January 1st. It is recommended that all players play within their age group. 15, 16, 17 year olds (18U Division) - Players who are 14 years of age may “move up” to this division. A try-out will determine eligibility. Players who are 13 years of age and will be in 9th grade for the upcoming school year may contact the coach of the 18U Division to indicate their interest in playing in the 18U Division. A try-out will determine eligibility. The 18U Division Team will be the primary team for players who are determined eligible. Players cannot be double-rostered to play in the 14U Division. 13, 14 year olds (14U Division) – All players who are 13 and 14 years of age, 9th grade for the upcoming school year, and register their primary team as the 14U Division Team may be double rostered (if needed) to play for the 18U Division Team. Players who are 12 years of age may “move up” to the 14U Division. A try-out will determine eligibility. The 14U Division team will be the primary team for players who are determined eligible. Players cannot be doubled rostered to play in the 12U Division. 11, 12 year olds (12U Division) - All players who are 12 years of age and register their primary team as the 12U Division Team may be double rostered (if needed) to play for the 14U Division Team. Players who are 10 years of age may “move up” to the 12U Division. A try-out will determine eligibility. The 12U Division team will be the primary team for players who are determined eligible. Players cannot be doubled rostered to play in the 10U Division. 9, 10 year olds (10U Division) – All players who are 10 years of age and register their primary team as the 1OU Division may be double rostered (if needed) to play for the 12U Division Team. Players who are 8 years of age may “move up” to the 10U Division. A try-out will determine eligibility. The 10U Division team will be the primary team for players who are determined eligible. Players cannot be doubled rostered to play in the 8U Division. 6, 7, 8 year olds (8U Division) – All players who are 8 years of age and register their primary team as the 8U Division may be double rostered (if needed) to play for the 10U Division Team. If the Association does not receive enough registrations for the 8U Divisions, 6 and 7 year olds will not be placed on a team. 8 year olds will then be placed on a 10U team with the consent of their parent(s).
