Westfield Athletic Booster Club Meeting Minutes July 10, 2013 6:30 pm

President’s Report – None Coaches Report – No Coaches present nd

Treasurer’s Report – Financials were reviewed. Motion to approve by Bonnie Verhoff; Beth Ellis 2 . All approved. Meeting – All Board Members and WABC Officers              

Plan for the future and improve the overall booster club. Discuss job descriptions for the officers of WABC. Brenda presented drafts and would like to have suggestions back for the next meeting. Bill talked about the years that WABC has been active. He has always played a roll in helping to run meetings but felt that it should be ran by the board and officers to comply with the by-laws Highlights of last year and Booster financials for all teams Treasurer report must be presented in a budget format so they can be easily reviewed by all to understand. It was requested that financials and minutes be sent out as early as possible before the meetings to allow members to review. Minutes were requested to be sent out within a few days of the previous monthly meetings. Discussion of fund raising direction nd WABC meeting dates will be held the 2 Monday of each month – location TBD The Membership list will be provided each month Discussion on concessions – who owns what Discussion on Spirit Club duties – Bill Davis will work on the creation of these All board members and officers are to review the by-laws of WABC and send any updates to Bill Davis by July th 15 . A review of the by-laws will be updated yearly An idea was raised that WABC sell Spirit Wear. An analysis would need to be completed. Group would like to sell Nike or Adidas. Andy will speak with Mrs. Ponsler to present ideas. th Left over car wash tickets can be sold after the 5 week of the season for football Sports Program was discussed and how hard it is to have people help on collecting companies to advertise. An idea was raised that we not print the books this year and replace them with the rooster with a company advertising on the back page. This could be done for weeks at a time by one company or change companies weekly.

WHS – Bill Davis st st  Highlights of the last year – 1 State Championship – Boys Golf – 1 championship in the history of WHS; Bill is recommending that the team be honored at the Homecoming Game  Value Cards will be sold on 8/12/13  The corporation has absorbed the cost of the Strength and Conditioning coach which WABC has paid $18,500 per year for 2 years WMS – Doug Luce  Highlights of the last year Spirit Club Reports –  Gridiron – Brad Harrison reported that on 8/10/13 is the Inter-squad scrimmage. Committee Reports 

WABC Golf Outing – Bill Davis The outing was successful – a detailed report will be provided. It was also recommended that going forward with any fundraiser that a detailed report be provided and save for any analysis on fundraisers.



Fan Club – no report



Mike’s Car Wash – Brenda recommended that we look at this soon and decide if we want to do it next year.



Membership – Shannon reported that she has received 8 new memberships for the 2013/2014 season. We will have representatives speak to the WHS and WMS parents about the importance of getting involved. Bill Davis will talk with the freshman; Doug Luce will speak with WMS.

Scholarship Committee – Scholarship selections were awarded for 2012-2013 Noah Roush- $1,000 Stephanie Chinn- $1,000 Kyle DuVall- $500 Jacob Tebbe- $500 Haley Lamp- $500 Meghan Luczkowski- $500 Jessica Pippenger- $500 Jamie Pippenger- $500



Travis Woerner Scholarship – Rewarded to Connor Harrison - amount determined by market value plus any contribution from family



Kristin Rice Scholarship - The Rice family selects this recipient and amount determined by market value plus any contribution from family

Old Business – Gambling license – Brenda and Brad to continue to evaluate forms to submit. New Business – The 2013/2014 Athletic Fee will be $55.00. Checks should be made out to Westfield Washington School, not WABC. There will be an email blast by the end of May informing all sports by the Athletic Department. Meeting adjourned @ 9:10 pm. th Next meeting will be held Monday, August 12 at 7pm in the WHS cafeteria (This is the same night as the Value Card sale so the meeting will be held following distribution of the cards to athletes). All members are invited and asked to bring a friend to get more parents involved.
