North Royalton Athletic Boosters December 4, 2017 Meeting Minutes

Finance Committee - Attendance: Paul Twarog, Jeff Evanko, Greg Robinson, Bo Kuntz, Carey Marousek, Kelly Tarnowski. Discussion was held concerning the following: Concession trustee transition and evaluation of account management; stipend program effectiveness as far as coaches’ support and increased membership; increasing involvement of current members; improving communication with NRMS parents. General Meeting – Attendance on file. The meeting was called to order at 7:00 p.m. by President Paul Twarog. 1. Update on School Construction Progress: Superintendent Greg Gurka provided the group with an overview of the construction planning process to date, focusing on NRHS. He indicated they are currently in a programming stage with the architect and construction manager. They have conducted visioning meetings with community members and prepared a general space design. Design development is slated to begin the end of January, with plans to break ground in late summer. The goal is to not disturb any student activities throughout the construction process. Mr. Gurka encouraged everyone to attend the Community Meeting on January 3rd in the PAC for a complete overview of the project. 2. Athletic Director’s Report: Bo Kuntz thanked the Boosters for their continued support. He indicated Winter sports are underway for the high school and middle school will begin this week. He announced that NRHS will again host the Holiday Basketball Tournament over Christmas break. He requested a donation of $750 from the NRAB to provide dinner from the concession stand for all of the players and coaches (approximately 225) attending the tournament. 3. Treasurer’s Report: Greg Robinson reviewed the Treasurers Report. He noted the deposit of $32,000 from Concessions from the fall season. Compared to last year at this time, Membership is up about $1,500, Programs are up about $1,000 and Gold Cards are down about $500. The complete Treasurers Report is on file. 4. Old Business: a. Holiday Basketball Funding Request: The request from Bo Kuntz for $750 for players/coaches dinner was approved by the membership. 5. New Business: a. Middle School Communications: Paul Twarog had invited interested 7th Grade parents to attend the meeting early tonight to discuss ways in which to increase awareness of NRAB at the middle school. Scott Adkins attended representing 7 th Grade Boys Basketball, and he is now the team rep. Paul opened the floor for ideas, which included the following:

i. Give students an informational packet/invitation when they make/join a team ii. Consistently attend the NRMS Sports Awards Nights to promote NRAB. Mr. Cicerchi noted that Kelly Tarnowski spoke at the Fall Awards and her talk was well received by the parents. iii. Send the NRAB newsletter to Mr. Cicerchi for inclusion in his email updates to parents. iv. Team Reps must encourage membership with their teams. All team reps should be provided with a standard script. v. Invite varsity players to attend the initial parent meetings with the middle school teams to explain all the NRAB has done for their teams. vi. Have the Membership Form on Final Forms, which all parents need to complete. Investigate if payment can be made through Final Forms at the time of completing the form. vii. Deliver a monthly “blast” on social media with a “did you know” fact about Boosters. viii. Team Reps should send monthly summaries of the NRAB meeting to their team members. ix. Encourage NRMS coaches to assign team reps, which helps both Boosters and the coaches. x. Hold an NRAB meeting at the middle school as parents may be more comfortable attending there. xi. Display posters in the schools to follow NRAB on Twitter and Facebook. xii. Mr. Gurka suggested a greater emphasis on communicating that NR athletics is 7th through 12th grade. b. Paul Twarog thanked everyone for the many ideas and indicated a plan will be developed to implement many of them in an effort to increase awareness through many avenues. 6. Trustee Reports a. Car Raffle – Lana Baird reported 800 tickets have been sold by athletes, with the goal being 1,000. Tickets are $20, with only 3,000 available. The drawing will be January 12th at the HS basketball game. b. Concessions – Jeff Mueller reported that fall concessions are over. There were 10 less events this year than last year, however revenue increased. Concessions made over $32,000. Jeff thanked the Pfister, Nemetz, Scott and Bidlen families for their hard work over the past few years as Concession Trustees. He also thanked those who volunteered to work the stand for the playoff games. He indicated there are two people committed to Concessions for next year, and they will be meeting with others who are interested over the next month. He reported that the Coke sponsorship agreement is in good shape, and expects that contract to be completed in the next two years. c. Gold Cards – Kelly Tarnowski reported Gold Cards have been distributed to winter athletes. Athletes who played a fall sport are not required to sell additional cards, and middle school athletes are not required to sell cards in the winter season. d. Letter Jackets – Kelly Tarnowski reported on behalf of Natalie Bottomley that she has many orders in process.

e. Membership – Kathy Lineweaver reported NRAB has 248 members. The breakdown by teams are as follows: Fall Sport

Kathy indicated it is difficult to cross reference the rosters with the membership forms as information is often incomplete. There was a great deal of discussion about having the membership form and payment completed on line. There was also a suggestion to use the credit card square as used in the Purple and Gold Booth to accept payments at the parent meetings. This will be investigated further.

f. Newsletter – Carey Marousek the Fall Newsletter was emailed to the membership and posted on the web site. She thanked the team reps, Bo’s office and the MS office for their help in gathering the information on the awards. g. Night at the Races – Linda Carozza reported that baskets are still needed from several teams. The SignUp Genius is available to sign up for baskets. Please contact Kim Dyson to make arrangements for drop off baskets at [email protected]. Tickets will go on sale in January for $30/each and reserved tables of 10. Greg Robinson will investigate if a portion of the ticket price is tax deductible. Linda reminded the group that non-perishable food will be collected at the event for the NR Food Bank. h. Programs – Michelle Grimes reported the Winter program will be printed next week. Paul thanked Jason and Michelle Grimes for their hard work on the programs for the past few years. A trustee is still needed to take over this position for next school year.

Purple & Gold Booth – Maria Rowlett reported they have taken select items to other events (basketball, volleyball), however, sales have been minimal, therefore they are going to discontinue this option. Jason Grimes indicated that Gearin’ Up can set up an online store for Purple & Gold and can develop a mechanism to accept the coupons NRAB members receive as a membership benefit. Maria will follow up with Jason on this alternative. k. Team Sports Liaison – Dan Novak reported team reps are still needed for MS and HS Cheerleading and MS Wrestling. l. Website Administrator – Jeff Evanko reminded Trustees to provide him with pertinent information about their areas.  He reported there were 22,000 hits to the web site in October.  All winter rosters are up to date on the site.  Team reps are reminded to send scores in and to submit Senior Spotlights.  The VNN app is no longer being supported, it is best to go to the web site, Facebook or Twitter.  Visit arbiterlive.com for up to date schedule information. The NR Athletics web site is on a 24 hour delay for last minute schedule changes.  Due to the success of our web site (great content = hits!), we were one of 25 schools selected to have an Amazon button on our site. NRAB will receive 25% of the sales generated by going through this portal to make purchases on Amazon. Click the “SHOP” button on the header of the northroyaltonathletics.com web site, or log on through Amazon Smile and search for NRAB. 6. Adjournment: The next meeting will be Monday, January 8th. The meeting was adjourned at 8:20 p.m.
