Rouse Raider Swim Team Booster Club General Meeting Minutes February 16, 2015 Call to Order General Board meeting called to order by Tina Saul at 7:30pm on Feb. 16, 2015 at the classroom of Coach Ramsey.

Attendance Executive members in attendance: Tina Saul, Ken Demoski and Lenna Crosby, Peter Grady Other members in attendance: Dianne Szabo, Ryan Castle, Lou Castle, Vicki Schaefer, John Schaefer, Sam Stauber Guests: Coach Ramsey

Approval of minutes from last meeting Minutes were approved.

Old Business A) Publications Committee a. Official team pictures will be taken by Photo Texas on Feb. 25th. b. Sam Stauber will take unofficial team pictures in downtown Austin. i. We are waiting on warmer weather. Date will somewhere around late March or early April. B) Banquet/Social Events Committee a. Swim Banquet: i. Tina Saul will look into reserving the Cedar Park Rec. Center for one of these dates: March 29, April 19 or April 26. ii. Would like to rent the space from 3-7pm with the banquet being from 46pm. iii. The committee has a $400 budget which includes: rental, food, decorations and gifts for our two Seniors. 1. We can only spend $10 on the gifts. iv. Swimmers will eat for free and tickets will be sold to family members to help off-set the cost. C) Fundraising Committee a. Rouse Athletic Bingo Nights: i. We are being encouraged to do a Spirit Night. ii. Refer to the Rouse Athletic Booster Club Meeting Minutes that Ken Demoski took during the board meeting on Feb. 11, 2015. b. Spring Fundraisers: i. Some of the proposed ideas for Spring fundraisers are: 1. Pieology Night (this is a continuation of the previous one-does not count towards our three year cap.)

2. Swim Clinic (bring in someone who has experience in pro-swimming and have them work with swimmers on technique. Need to determine ages for clinic.) 3. Bellini’s or Applebee’s Breakfast (swimmers sell tickets for breakfast at one of these locations. 400 tickets max, 2 hour window for breakfast, swimmers help to serve and clean up. Bellini’s tickets: sell for $16, booster get $8, Bellini’s get $8. Applebee’s tickets: sell for $10, booster gets $5, Applebee’s get $5. Applebee’s requires $100 deposit.) c. Fall Fundraisers: i. Sponsors—We need to start looking for sponsors for the 2015-2016 swim season. The committee would like to start asking local businesses starting in March/April. 1. If a sponsor donates $200+ the booster club will add their name to the swim team shirts. ii. Some proposed ideas for Fall fundraisers are: 1. Texas Stars Hockey Night (Chuck and Puck where we could errand up to $300-$400.) 2. Homecoming Parade booth (sell spirit items or food) 3. Halloween booth (sell food items) 4. Christmas wrapping (swimmers and parents will gift wrap Christmas presents at the Lakeline Mall or some other location. Lakeline assigns shifts for different organizations and all money raised is split between those organizations.) 5. Online Silent Auction (host a silent auction online where you can hold it for a longer period of time and more people will be able to participate.) iii. If we would like to monogram items for a fundraiser, then the committee proposes that we look at outsourcing. Vicki Schaefer has been volunteering her monograming services, but a large scale monograming fundraiser will be more than she can do. Thank you Vicki for all that you have done! New Business A) Treasure’s Report a. We did not have a Treasure’s report. B) Regional Funds a. Rouse only pays $40 total per swimmer for Regionals (Thurs-Sun). b. Due to the large amount of swimmers who advanced to Regionals, Coach Ramsey requested $1500 from the boosters to off-set the cost of food plus any incidentals. i. The booster club has never paid for regionals in the past and needed to look into that request. ii. Tina Saul and Coach Ramsey met with the Athletic Director and came to decision that yes this is a request that the boosters need to fulfill. c. Coach spent less than $100 during Regionals. d. It has been proposed that the boosters plan a Districts, Regionals and State food budget. C) State Meet a. Haley Timmons advanced to State. Prelims-Friday Feb. 20th, Finals-Saturday Feb. 21st at UT.

i. Boosters will pay for her food and parking. D) Community Service a. Swimmers are required to have 10 hours of community service by the end of the year. i. It has been proposed to have swimmers volunteer at either the Round Rock or Leander Special Olympics. 1. Round Rock would be April 4th. 2. Leander would be May 1st-2nd. E) Rouse Main Athletic Booster Club Update a. Scholarships are being offered to all Senior athletes whose parents have been booster members for 2+years. i. $13,000 will be awarded to the top 5 girls & top 5 boys. ii. Students need to fill out the application, have teacher recommendations and write an essay by the beginning of March deadline. iii. Guidance Counselors will be the panel that decides scholarship awardees. iv. Scholarship money will go directly to the college or university of athlete’s choice. b. The next meeting will be April 29th in the Lecture Hall. i. Awards will be given, scholarship winners will be announced and new board members will be elected. ii. Refer to the Rouse Athletic Booster Club Meeting Minutes that Ken Demoski took during the board meeting on Feb. 11, 2015. F) Coach’s Report a. Coach Ramsey has a $2,000 budget she needs to spend in the next two months. i. She plans on using her budget on new swim suits. b. Coach would like to replace the swimmer’s warm ups with booster funds. i. Fundraiser funds are the planned means to pay for the warm ups. c. A survey about the swim season will be going out soon. Please take the time to fill out. d. Next year Coach is asking the school to allow for a Jr. and Varsity swim team. i. We need to be actively recruiting for the 2015-2016 swim season. G) Approved by Booster Members a. Bellini’s Breakfast for May 16, 2015. Once date is confirmed Lenna Crosby and Coach Ramsey will submit LISD fundraiser paperwork. b. The Fundraising Committee will look at different companies for outsourcing the monograming. They will submit their company suggestions at a later date. c. Community Service hours will be performed at the Leander Special Olympics at Bible Stadium on May 2nd. Look for sign-ups on Sign Up Genius. d. Boosters will plan for Districts, Regionals and State food and incidental budget for the 2015-2016 swim season.

Next Meeting General Board Meeting will be held on Monday March 9, 2015 at 6:30pm in Coach Ramsey’s classroom.
