FALLBROOK POP WARNER EXECUTIVE BOARD OF DIRECTORS MEETING MINUTES FROM July 6th, 2016 The formal meeting of the Fallbrook Pop Warner Board of Directors was called to order at 6:18pm by President of the Board Erik Benitez held at Fallbrook Library. BOARD BUSINESS: President (Erik): -
Review / Approve last minutes meeting from June 22nd meeting. Minutes were approved by Kerry and seconded by James. Board Members Status of our non-profit is currently delinquent. All fees have been paid and paperwork been submitted to the state. Pending reinstatement. Rolinda to notify board when checks have cleared bank. They have received the first payment and have not cashed check yet. No tickets shall be sold or given out until all clearances are provided.

Board openness and sharing of information with teams. The events that are discussed in the board meetings shall be vetted accordingly before info is given to team parents or teams. o Proper information shall communication as follows: Player Agent communicates to the Team Parents. Coaches Agent communicates to the Head Coaches. The Board shall develop Course of Action (COA) The Board determines the COA and then shares the COA This is based on lessons learned over past years. Releasing info to others results in breakdown of communication and additional work to clean up. Professional Nature in meetings and communication. Racial/ Sexist remarks not welcome in meeting place. JMM/MM o Offering discounts to fill these teams to those last players. Decisions shall not be solely made from one board member without BOD consent and a vote taken to take action. No

Board of Directors o The 2016 By-Laws still need to be finalized and ratified before out meeting. o It is highly recommended that the BOD meet twice a month. o The President of the BOD does not have voting rights unless a tie breaker vote. Code of Conduct handbook. o 1st VP/Player Agent had brought before the FPW BOD a contract recommending that all players, coaches, and parents sign. After receiving the handbook and cross referencing items from contract it is seen that an additional document would be coaches discretion. We as the BOD will have the document available for coaches to use on top of the COC. July Recruiting Events. o Hot Summer Nights July 8th 5:00 – 8:00.
Coaches Agent:
Round Robin Scrimmage is to be held on August 20th and is confirmed with FHS. Head Coaches Mandatory Meeting is July 16th at Chargers Park 8:00am. Heads Up Football (HUF) Clinic: Head Coaches and Player Safety Coach meeting is July 30th in Poway. All Head Coaches have passed background checks.
Equipment Manager:
Equipment Issue will be held on July 9th at Potter small parking lot from 8:00 – 11:00. Equipment issue make ups will be held on July 23, 2016 9:00 – 11:00. Equipment Grant awarded for $1000.00 from Riddell for Helmets.
It was also voted and approved that in order to receive “early bird” discount player must be enrolled in payment plan or a payment of $100.00 shall be paid to hold players jersey. 1st KS/2nd JJ. Meeting was motioned for adjournment at 8:30 pm . Next Meeting: To be held at the Denny’s Restaurant located at 713 S. Main Street Fallbrook, Ca. 92028 in meeting room at 6:00pm on July 27th, 2016.
