Call to Order Final 2017 BOD meeting a. Motion by Jeremy / seconded by Gary / unanimously approved Public Comment a. Joe – Did a soccer fund raiser at Walmart, suggests picking a rainy day for a fund raiser – soccer fund raiser did a great job. Met a parent whose child from Plainville – first time participated in the Watson tournament. He said it was a great experience. Said kids had a good time. b. Jeremy – great job on the Watson tournament – it went really smooth i. Personally wasn’t happy with the co-championship – but the coaches both agreed ii. Few things came up during the tournament which Jeremy felt was reacted to and responded to appropriately iii. It was good baseball iv. Thank you again for all you did in the Tournament to make it a success v. Every year there are compliments on not just the field, which there were a lot this year, but all aspects of the tournament Approve Treasurers Report a. Amy: i. Cash balance approximately $31,000 but with deposit that need to go in and the bills that need to be paid actual balance will be closer to $30,000. ii. Did not have time to run separate report to show the Shack through the end of this season but will try to get one out before the end of the month. Approximately $1,900 less than last year – which is due to rainy season. iii. Profit is approximately $15,000, which is less than last year – but that difference is mainly due to donations – League received fewer donations this year than last year. iv. Also received less sponsors this year than last year. v. All and all we are pretty much on target. vi. Donation from Ryan Martin was received - $500 from United Health Care b. Jeremy : need to find a way to put the money back into the league for the kids. Mentioned directional lighting but last time it was priced it was $80,000 - $100,000 and it would be difficult to get approval from neighbors etc. c. Approve Minutes a. August – i. Motion by Jeremy / seconded by John / unanimously approved b. July – i. Motion by Jeremy / seconded by Gordon / unanimously approved Fall Ball – Update a. Jeremy – thank you Bryon for organizing it so well b. 3 of divisions c. 2 Teams in each division i. Bronze (AA) ii. Silver (AAA) iii. Gold (Majors) d. Discussion between Gordon & Steve regarding minor’s player whose parent would like him to play at the major’s level. Main concern is if the player is ready for that division and can he play in it safely. Gordon and Steve agreed he could play at the majors level for fall ball on Gordon’s team and will watch player’s field placement in the to ensure his safety. e. 50/70 i. Gordon has responded to some emails regarding the 50/70 ii. Jeremy sent out emails Friday of last week regarding 50/70 iii. Jeremy has contacted Southington West has a travel AU 50/70 program, to find a place for the Anthony brothers to play (may have openings on the 13yr team). iv. Gordon has done the same for Ruffino. v. Bryon – there were 8 interested players but even if there were 9 it wouldn’t have been enough to field a team (no pitching, no catching …) vi. Jeremy has reached out to McCabe & Edgewood but both are afraid that it will take away from their Junior program f. Bryon – i. Shack was the last priority for fall ball ii. Umpires – struggling to get umpires 1. So far Louis Reyes, Jim Lorenzetti and Jared Martineau 2. Sent out mass email to all the names for umpires on the list that Corey circled 3. Gordon/Bryon: Can we up the amount that we pay to umpires? Other leagues pay up to $50 per game. 4. Jeremy – Need to get some more experienced umpires for next year – look at working with Alex / Elliot Norris age group. 5. Bryon - Need money to pay umpires 6. Caren – need to make more slips for the umpire receipts

City Series a. Congratulations to the A’s - made it to the finals – well played city series b. From A’s perspective, they didn’t have any 12yr olds and team they played had 6 - 12yr olds on their team c. Edgewood got knocked out early but played two really good games d. Jeremy got a lot of compliments from both Edgewood and McCabe. Did a great job with the Tournament – League took it on a year early because McCabe was redoing its fields VII. Movie Night a. Great Job (approximately 100 people at the pinnacle of movie night) i. Shack did really well – raised $700 ii. Turned the movie night into a fundraiser for Morgan Amyot. iii. Online vote – everyone agreed to up the donation from $700 to $1000.00 iv. Steve is passing around a card for board to sign to be sent with the check v. Caren will send a thank you card for pizza and popcorn donations for movie night. vi. Next year – try to send out more advanced notice to get more involvement/response. Banquet – Need to start promoting it. a. Banquet Location/date : Nuchie’s / Oct 20th b. Awards: i. All Star plaques (10U and 11U) ii. 12 year old recognition – (personalized windbreakers – order an extra one (M) for Nashaun – he didn’t get one last year) 1. ordered through A-Z - Jeremy will pull order from last year. iii. Volunteer of the year 1. Submit a name (hierarchy for multiple names) 2. Each board member needs submit an email to Jeremy with who they should get Volunteer of the year. Jeremy will tally up the votes. If there is a tie he will cast the vote to break the tie. iv. Sportsman of the Year 1. Jeremy – believe everyone in agreement. 2. Will do vote through email because it does not require a Board vote. v. Watson All Stars plaques – 1. Co-Champions should get the same awards; Gary will be able to get them in time for the banquet. 2. Jeremy will give the 1st place awards that we have to McCabe to be presented at their picnic. c. Field Updates a. 50/70 base installation i. Need to put the bases in for the 50/70 1. Diamond Kings has asked if they can use the 50/70 field through the fall for their AU team. They have offered to install the base plugs for us and they have also offered to provide us free clinics for the next year including specialized clinics for coaching and pitching clinics. a. Concern expressed about our League make-up games. Who gets the priority? b. Jeremy – the positive is that Diamond Kings will install our bases. Not planning to use field every week – just if they need it. c. Gordon – Ok for them to use as long as Forestville gets priority for field usage. d. Joe – can we get something in writing so that there isn’t any grey area? e. Dean – Diamond King has same agreement with Southington West. Will allow us to use facility for tryouts etc.… f. Steve – we don’t have the base anchors, we have the sleeves ii. Are there any teams that are willing to play the 50/70 with us? 1. Jeremy – Yes, but there wasn’t the response from the kids. Farmington and Southington through Farmington D5. 2. Gordon – need to be more transparent, people were asking if there were teams to play and didn’t have the information to give them. iii. Motion by Jeremy to enter discussions with Diamond Kings regarding 50/70 field use and what they are willing to offer in return/seconded by Dean / unanimously approved. Jeremy will work with Mike to put something in writing and will send it out in an email. b. Infield surface to be redone and mount built up – schedule for work to be done i. $4230 total proposal (infield reduced by $500) 1. $3000.00 main field and $1230 for foul line Stone dust (Copy of proposal attached to Minutes). ii. Need better maintenance plan due to amount of traffic, and new size of field. iii. Field isn’t available until November (2 or 3 days of work for them)

iv. Need to rent roller, have someone rolling while everyone else is raking during fall clean up. v. Motion by Jeremy to requisition the work / seconded by Dean / 13 yes – 1 abstain. vi. Steve will reach out to get a timeline – will propose last week of October or first week of November. c. New mower is bent on the deck – creating an issue for the bagger option to be installed under the deck i. Rich hit the guide wheel, the mower works fine. d. Smith-co needs new spikes for dragging the field i. Jeremy – need to send the Smith-co for service the transmission is shot and we can look at attachments for it. ii. Bryon – there are also attachments for the Zero-turn that we can look at. e. Sprinkler system i. Have them look at them look at the ones that aren’t working when they come to blow it out. Fall Cleanup a. Last game scheduled on 10/22 b. Usually scheduled for the first week of November – tentatively scheduled for the 1st week of November and adjust it based on when CutRight schedules their work. c. Can do fall clean up the week of 10/21, 10/22 after the games. i. Need to add hooks to hang ladders in the connex box ii. Need to rearrange connex box iii. Need to do clean shack – purchase degreaser iv. Need new hose New Items a. Next month BOD meeting Vote – if anyone is not planning to return to the board please let Jeremy know. Would like to get some people from the T-Ball and Instructional group on the Board. i. Gordon – Ryan Martin is interested in getting involved. b. Jeremy – ok to move meeting to the second week of October. i. Motion to hold meeting on Tuesday October 10th/seconded by Vicky/approved unanimously. ii. Jeremy will look for location for meeting – library doesn’t work because we need to be out by 8pm. iii. Joe to start sending out communications to the general population to let them know when the election meeting will be held. c. Dean – Thank you to everyone who helped with the city series. We received a lot of compliments from all sides.

d. Bryon – It doesn’t appear that we will be able to use the softball field / Jeremy will check to see if they have a permit. e. Joe – Trying to recruit Fran Labriola for the Board – he is already a sponsor – already here helping and he is great with the kids. f. Steve – Grant that was written for the safety barrier on Watson was approved for $1000. There is a reception on October 3rd, if someone would like to go at the Thomaston Opera House. Joe said that Patti is going for the Clock Museum. i. We have $1000 to spend either on safety netting with the poles or on 2 shed (one on softball and one on little field). ii. Total cost for the safety netting is approximately $4800 and for the two shed is approximately $1500. 1. Steve already has approval from BOE for the shed for the Little Field. iii. If we go the pole route we should do it when they are already out here doing work, if we go with the shed we can do it in the spring. It will add $3800 to the already approved invoice. iv. Board consensus is to earmark money for the sheds g. Jeremy – Thank you to every for all the work this past season. We had some bumps but we worked through them. h. Joe – cart for the pitching machine – need to measure the machine to get the right height and Jeremy can approve because cost is less than $500.00 Close Meeting a. Scope of Work 1. Main Field Clay Additions $3,000.00 § Till all clay areas along infield skin and around home plate. Add additional clay as needed. § Cut in clay stripe from home plate to pitcher’s mound to specified width. § Check and set pitcher’s rubber to 8” higher than home plate. § Provide and install approximately 15 cubic yards of new clay material. 2. Foul Line Stonedust $1,230.00 st rd § Cut in stone dust foul lines from 1 and 3 plate extending all the way to the foul poles at the same 3 foot width as the baselines. § Provide and install approximately 6 tons of stonedust.
