STMA Youth Hockey Association November Board Meeting –November 9, 2015 Board Members in Attendance: Jeff S., Matt W., Jeff P., Kristen, Kari W., Dana, Kris, Tammy W., Josh, Jen, Jess, Heidi, Bill R., Wade, Matt F., Ann Called to Order – 7:06 Approve October Meeting Minutes – Matt W./Tammy W. Consent Agenda 2 modifications: 1. Karl into Coordinator reports 2. Kris Tourney budget Approved - Tammy/Kris Gambling Report Presented by Dana B. Dana to look at revenues year over year at Neighbors Dana/Bill/Jess – Approved November payments as documented Annual Financial documentation is complete Will provide in November meeting minutes or December Meeting Could be looking at doing a booth at Space Aliens Pull tab auditors Can be very time consuming 10-23/200 hour per year We are one of the only Associations that’s able to have this done through volunteering We need someone timely, accurate, and consistent This is skilled work – it’s very detailed Monti - $5 per box Rogers - $8 per box We could set it up for their volunteer hours and once those are complete they can be paid We close 15-30 games per month Could be $3-5k a year Motion – Pull tab auditors/$8 per box - Dana/Kristen/Bill - Approved

High School Hockey Programs Jr Gold – Jim Helgestad Those interested in Jr Gold should check out the page on the website The league will be scheduling games 11/23 League play will begin on 12/1

Executive Board Reports President’s Report – Josh Opiola Saturday hockey is on even though there is a big football game The facts are that we have one sheet of ice, we have officials lined up, teams coming to our rink December ice is really full our teams will be lucky to be on the ice 1-2 times a week at STMA Exception for a BB2 team was made, however please note that team was not scheduled to be at STMA Good School Board Meeting last week – Jill Anderson made a great point at the meeting as this more than just a hockey rink. Our community needs to understand that it’s more than just hockey that needs this facility. We should know more by December Board Meeting (we will know on Mighty Ducks Grant and outcomes from the November Arena Board Meeting). Huge shout out to Heidi and Tammy W for getting our new website to look pretty! Great job!!

Coordinators Report Safesport – Wade Parkin Clarification on Safesport: 1. Coaches can be the locker room managers or can ask parents to do LR duty 2. All Volunteers that have any interaction with kids have to be Background Checked (needs to be done every 2 years). USA Hockey and MN Hockey both have a policy on this that we fall under and that we will follow their policies, even though it’s not in our handbook. It’s a free check, takes minutes of time and it’s on the MN Hockey website www.minnesotahockey.org/page/show/710969-screening 3. There has to be 2 coaches in the LR and there should be 2 parents doing Locker Room duty as well. 4. You have to have Safesport done to get credit for your Locker Room shifts – this is not an STMAYHA thing, a D5 thing or a MN Hockey thing – this is all a USA Hockey thing. 15 A – 10/2 Ron Och 15 B – 11/1 Ken Lehman Bill R/Matt – Team Size and Coaches - Approved Mite Coaches we will reimburse non-rostered mite coaches their USA Hockey fee ($50) for just the 1516 season, Matt F./Bill - Approved Socks – HOC would like to see the boys and the 15’s have 2 pairs of socks – not just white socks, they feel that it would make the team look more cohesive. Order another set of colored socks – Matt/Karl Approved Karl Anderson – D5 Coordinator D5 Meeting Move up form is on the D5 website Team Reps – if you have someone playing up get those forms done Coaches you need to get CEP’s done Level 1 in St Cloud is full – they are not accepting any more $20 cancellation fee for Officials if you cancel them Coaches and Team Reps need to read the D5 September/October Board Meeting Minutes for policies on cancellations and other Bantam AA and PW AA league info Squirt playoffs was being discussed – looking at dates Score sheets needs to be submitted or there could be fines Kris McDonald – Volunteer Coordinator Discuss a tournament fund (donations to build the slush fund for tournaments) – Tabled for the future
