The Vestry Meeting Wednesday, June 15, 2016 St. James Undercroft Present: Evan Abood, Susan Benson, Sherry Gillespie, Kelly Miller, Kathy Shesky, Martha Staley, Janet Stewart, Bob Welsh and Father Rob Willmann. Others in attendance: Eleanor Bailey, Treasurer and Mindy Rush, Recorder. Absent: Lee Donoho, Barbara Saunders, Jane Ellen Wiles, Opening Prayer: Fr. Rob Willmann opened the meeting at 7:05 by leading the group in the Lord’s Prayer. Approval of Agenda: Janet Stewart made a motion to accept the agenda as written. Sherry Gillespie seconded the motion. Motion was carried Approval of Minutes: Bob Welsh made a motion to accept the minutes with corrections. Susan Benson seconded the motion. Motion was carried. Rector’s Report: The Rector’s oral report consisted of these points: Fr. Rob Willmann is still looking for a person to serve on the discernment committee. Sunday, June 12th, the Laying of the Cornerstone Celebration, went well. He is beginning to work on the 2017 budget and will be meeting with the Finance Council. David Schubach has been hired as our organist. Additional comments or questions: None The Senior Warden’s Report: The Senior Warden Kelly Miller’s written report consisted of these points: Senior Warden Miller stated that our Cornerstone picnic went well and we were able to update the congregation on the initiative progress. Kelly noted that while moving his grill around during the picnic how bad the sidewalks were. It was discussed that we are on the list for Neff Paving to make those repairs. The Bishop will be here for our Jubilee celebration. Our 10:00 service is cancelled and we will be having service at 4:00 pm on October 16th. Additional comments or questions: None The Junior Warden’s Report: Junior Warden Barbara Saunders’ written report consisted of these points. Stone work on the church continues The floor in the vesting room is now carpeted in part, and a carpet bar placed at doorway this work was done by Rich Tolliver. Myron Aber did additional work planning the cabinet doors for ease in clearing the carpet.
The carpet in the sanctuary cannot be stretched. It is glued to the floor. It was stated by a representative from Lavy Carpet that if attempted the result would be most likely unsatisfactory Sherry Gillespie continues to work on cleaning the Sunday school rooms A meeting with representatives of the diocese was held on June 4th to discuss how the mission share contribution totals were developed.
Additional comments or questions: Mindy Rush reported to the Vestry that with, Barbara Saunders permission, her report from May which read “Neff Paving has St. James parking lot on their schedule for this summer and will let Mindy Rush or Barbara Saunders know when they plan to come” was changed to read “Neff Paving has St. James sidewalks on their schedule for this summer and will let Mindy Rush or Barbara Saunders know when they plan to come” The Treasurer’s Report: Treasurer Eleanor Bailey’s written report consisted of these points Plate and pledge have made up some lost ground and are on budget target. She is having difficulty locating someone to do our parish audit. Kelly Miller will contact Gary Loveday to assist in making arrangements for Mr. Loveday to do our audit. Additional comments or questions. Kelly Miller made a motion to accept the Treasurers’ May Report. Evan Abood seconded the motion. Motion carried. Administrative: The written administrative report consisted of these points The wrought iron on the front steps is rusting inside the concrete causing the concrete to crack. David Kridler stated that eventually the “lid” where the rods are placed would need replaced. However for no additional charge, he would make cosmetic repairs. Committee Reports: Sherry Gillespie on behalf of ECW stated that the new light weight counter top is in. Susan Benson reported on behalf of the Friendship Dinner that we served 184 meals in May. She also indicated that volunteers are needed to help with serving. Old Business: Janet Stewart updated the Vestry on reception for the Blue Mass. The reception will be an ice cream social. Janet Stewart also requested a copy of the Vestry committees. Kelly Miller will send this list out. Janet also indicated that an attempt should be made to determine who if anyone is sending greeting cards to parishioners. Sherry Gillespie stated that the garden fountain is now working thanks to Mark Eagleson who provided the electrical work. The choir rehearsal will now take place in the choir room. Fr. Rob is in contact with Mother Kitty Clausen to work on a date for the Vestry’s retreat. This most likely will be in September. Bob Welsh asked for information on any extra funds (if any) from the initiative.
o A discussion was held that the Initiative committee was looking at other areas of need to present to the parish for the parish’s thoughts. o Bob Welsh would like to see the needed repairs done to the organ. o Fr. Rob has a potential donor who may be able to assist with the repairs. o Janet Stewart and Tom Ischy will send a letter regarding the progress and possible additional areas of need. New Business: The material left from the light changes is located in the Sunday school room. Kelly Miller will look into having someone come and remove it. Janet Stewart would like to have a parish picture taken during the Jubilee celebration. She will follow up on this. Janet Stewart and Evan Abood also discussed the possibility of having t-shirts made with the Episcopal shield. Evan will follow up on this. Janet Stewart requested that the Vestry approve support for the Souper Bowl by again paying for the tickets. This has previously cost $200.00. Sherry Gillespie motioned that St. James again pay for the tickets. Kelly Miller seconded the motion Fr. Rob would like the Vestry to consider a financial compensation for the work generator by Conrad Schmidt as they most likely will not be awarded the contract for painting. Adjourn Sherry Gillespie made a motion to adjourn. Susan Benson seconded the motion. This motion carried. The meeting was adjourned at 8:00 P.M.
